Job Title: Service Advisor

At Joe Johnson Equipment Ottawa, we are seeking a highly skilled Service Advisor to join our team. As a Service Advisor, you will play a critical role in providing exceptional customer service and ensuring the smooth operation of our service department.

Key Responsibilities:
  • Manage customer relations by receiving phone calls and emails, and providing status updates to customers.
  • Open and close work orders in alignment with internal procedure timelines.
  • Prepare quotes and edit/update work orders to ensure 100% capture of all billable items.
  • Provide unit history to the service department for incoming repairs.
  • Assist with shop scheduling to ensure optimal efficiency and customer service.
  • Work with factory representatives to minimize customer downtime.
  • Conduct shop walkthroughs with the Service Manager to capture real-time status updates.
  • Prepare and submit bi-weekly Payroll reports.
  • Work with the accounting department to ensure customer accounts are in good standing.
  • Ensure on-time billing for all customers.
  • Maintain MTO files and ensure all documentation is in compliance.
  • Process warranty claims.
  • Resolve and/or escalate customer concerns and maintain positive customer relations.
  • Assist with Parts department as required.
Requirements:
  • High School Diploma, GED or equivalent.
  • Valid driver's license with a clean driver's abstract.
  • 3+ years' experience in a Service Advisor role or related administrative/customer service position.
  • PFW/CDK software experience an asset.
  • Experience preparing quotes and opening/closing work orders.
  • Experience with MS Office Suite, with a focus on Microsoft Word, Excel, and Outlook.
  • Mechanical aptitude or previous exposure to a heavy equipment work environment is an asset.
  • Ability to work within a fast-paced environment.
  • Ability to organize, multitask, and plan work efficiently.
  • Positive and collaborative attitude.
  • Good verbal and written communication, with strong customer service skills.
