Position Overview:
The Project Administrator plays a crucial role in supporting the Project Management team by handling essential daily tasks while maintaining confidentiality. Responsibilities include scheduling, timekeeping, clerical work, report generation, travel arrangements, and job documentation. The Project Administrator will address client inquiries and provide necessary information and assistance to both staff and clients, adhering to established protocols. A background in a construction site office environment and strong computer skills are essential for this role.
- Generate periodic project reports for clients as needed.
- Organize and maintain project documentation.
- Assist Project Management personnel in managing and compiling essential documents, such as bills of lading, vendor invoices, and time sheets.
- Coordinate travel arrangements for project personnel.
- Engage with head office Accounts Payable and Accounts Receivable teams.
- Support Project Management with procurement tasks.
- Communicate with Owners, Engineers, and other stakeholders involved in the project.
- Design and maintain documentation for project tracking and personnel scheduling.
- Become proficient in additional administrative responsibilities.
- Perform clerical tasks as required.
- A minimum of 2 years of progressive experience in a construction project-based administrative capacity.
- Proficient in Microsoft Word and Excel.
- Excellent communication skills, both written and verbal, along with strong organizational abilities.
- Self-motivated with minimal supervision required, capable of motivating and overseeing junior administrative staff.
- Exceptional time-management skills to meet deadlines while handling multiple tasks concurrently.
