Key Responsibilities- Coordinate and Manage Office Operations
- Oversee the daily activities of the office, ensuring that tasks are completed efficiently and effectively.
- Develop and implement procedures to improve office efficiency and productivity.
- Provide Administrative Support
- Assist with the coordination of meetings, appointments, and travel arrangements.
- Prepare and distribute meeting minutes, reports, and other documents as required.
- Manage Communication and Correspondence
- Respond to incoming correspondence, including emails and phone calls.
- Prepare and send outgoing correspondence, including letters and memos.
- Maintain Accurate Records and Files
- Ensure that all records and files are up-to-date and accurately maintained.
- Develop and implement a filing system to ensure easy access to information.
- Supervise and Train Staff
- Supervise and train staff members as required.
- Develop and implement training programs to improve staff skills and knowledge.
- Education and Experience
- Secondary (high) school graduation certificate.
- 1 year to less than 2 years of experience in an administrative role.
- Skills and Abilities
- Excellent organizational and time management skills.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficient in Microsoft Office and other software applications.
The successful candidate will work in a fast-paced office environment with a large workload. The ability to multitask, prioritize tasks, and work under pressure is essential.
