About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Bryan's Auto Body (Squamish) Ltd. as an Administrative Coordinator.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events to support the business.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Develop and establish office procedures and routines to maintain efficiency and productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and events to ensure smooth operations.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional manner.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized workspace.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations as needed to support business operations.
  • Customer Service: Greet visitors, direct them to contacts or service areas, and provide general assistance to ensure a positive customer experience.
  • Document Management: Set up and maintain manual and computerized information filing systems to ensure accurate and efficient record-keeping.
  • Correspondence: Type and proofread correspondence, forms, and other documents to ensure professionalism and accuracy.
Requirements
  • 1 year to less than 2 years of experience in an administrative role.
  • Permanent employment with a regular schedule of 30 to 40 hours per week.
  • Fluency in English as the primary language of communication.
