Position Overview
The Senior Administrative Officer to the Chief Executive Officer plays a crucial role in delivering high-level, proactive, and confidential administrative and project support to the President & CEO, as well as the Board of Directors.

Key Responsibilities
  • Manage calendar and event coordination, ensuring efficient scheduling and organization.
  • Provide comprehensive administrative support, including the preparation and distribution of meeting materials, and managing logistical arrangements for board meetings.
  • Oversee documentation and filing systems, including board manuals and ministry communications, while implementing effective archiving policies.
  • Conduct research and gather information as needed, facilitating routine inquiries directed to the executive office.
  • Plan and coordinate complex corporate events, ensuring all details are meticulously handled.
  • Maintain an organized filing system in accordance with the agency's records management practices.
  • Update website and social media content, enhancing the agency's online presence.
  • Act as a backup for reception duties and provide support for information technology administration.

Qualifications
  • Bachelor's Degree in Business Administration, Executive Administration, or a related field in Health or Social Services.
  • A minimum of 5 years of experience supporting non-profit Boards and senior leadership in a dynamic environment, adept at managing complex issues and competing priorities.
  • Strong understanding of governance policies and procedures.
  • Experience in the health or social services sector is advantageous.
  • Exceptional written and verbal communication skills, capable of engaging with internal and external stakeholders, including leadership from community partner organizations and government entities.
  • Proficient in MS Office Suite (Excel, Word, PowerPoint, and Outlook).
  • Ability to thrive in a fast-paced environment, managing multiple priorities while working independently and collaboratively within a team.
