Key Responsibilities
  • Build and maintain effective working relationships with billing lawyers, paralegals, legal assistants, external and internal clients, and management.
  • Ensure timely entry of time and preparation of prebills, including follow-up with lawyers and paralegals as necessary.
  • Monitor and review outstanding WIP and follow up with lawyers and paralegals to ensure timely billing.
  • Track contingency files, closings, and other milestone billing arrangements and report on status to direct supervisor.
  • Prepare various reports and spreadsheets related to time, billing, receivables, and other financial data.
  • Issue invoices as instructed by lawyers and in accordance with client billing guidelines and Firm standards and policies.
  • Liaise with the Finance Department to ensure client codes and contract specifications are up-to-date and procedures are followed.
  • Act as a liaison between lawyers, legal assistants, and Finance, providing assistance with accounting and financial queries.
  • Responsible for initial collection inquiries with external clients and escalating billing concerns to billing lawyers for direction.
Requirements
  • Post-secondary education in Accounting or equivalent work experience.
  • Minimum of 3 years of related experience, including client service, billing, collections, and/or accounts receivable, preferably in a professional services firm.
  • Familiarity with Aderant Expert or a similar accounting system is an asset.
  • Strong time management skills, ability to handle multiple tasks, set schedules, and work under pressure to meet deadlines.
  • Analytical and problem-solving skills.
  • Strong attention to detail and organizational skills.
  • Knowledge of business and legal terminology.
  • Capacity to demonstrate tact and diplomacy when dealing with internal and external clients.
  • Flexibility to work overtime during peak billing periods.
  • Strong written and oral communication skills.
  • High level of discretion and confidentiality.
