Executive/Project Coordinator

Job Opportunity:
Aecon is seeking a highly skilled and organized Executive/Project Coordinator to provide administrative support to the management team.
Key Responsibilities:
- Coordinate administrative correspondence related to construction project management.
- Prepare monthly progress reports and ensure timely submission.
- Take minutes of executive committee meetings and assist in action follow-up.
- Organize and manage meetings and agendas for the Project Director.
- Support project management team in developing tender documents.
- Collect necessary forms from various departments for project commencement.
- Produce contract award letters and submit subcontracting reviews.
- Document and maintain tender process records.
- Produce minutes of management meetings and contracts for subcontracting lots.
- Ensure all necessary documents are obtained for cheque handovers.
- Maintain employee records and organizational charts.
- Manage access requests and office supplies procurement.
- Handle signature requests and related tasks.
Requirements:
- Diploma or technical degree in administration or secretarial work.
- 5-7 years of experience in a similar position.
- Knowledge of the construction industry is an asset.
- Proficiency in French grammar.
- Proficiency in Microsoft Office software.
- Knowledge of project management software (e.g. ACC, ACONEX, SAP) is an asset.
- Rigorous and meticulous work ethic.
- Great versatility, initiative, and ability to work in a multidisciplinary team.
- Excellent organizational skills.
- Strong communication skills and collaborative spirit.
- Positive attitude, leadership, and proactive approach.
- Flexibility with schedule and ability to work under pressure.
