As a Rehabilitation Service Specialist Case Coordinator at WCG International Consultants Ltd., you will play a critical role in the receipt of new Rehabilitation Services and Vocational Assistance Program referrals. Your primary responsibility will be to triage and engage participants, ensuring a positive first interaction. You will work closely with multiple stakeholders, including Participants, Veterans Affairs Canada Case Managers, and the Rehabilitation Service Professional team.

Key Responsibilities
  • Identify referral service expectations and ensure information is thorough and clearly identifies referral objectives
  • Establish participant eligibility for service
  • Liaise with VAC referral sources regarding incomplete documentation or additional information required
  • Initiate first contact with participants within service standard timelines
  • Provide participants with high-level details about the program and answer initial questions regarding the program or process
  • Identify support or adaptations required for initial intake interviews to ensure participant satisfaction
  • Negotiate and problem-solve to overcome obstacles in booking initial intake interviews within service standard timelines
  • Provide access to the Participant Portal and contact information for User Support Call Centre and RSSs
  • Address and resolve any issues or concerns that arise promptly, escalating appropriately when needed
  • Ensure participants receive initial orientation materials and complete pre-meeting information prior to initial intake interviews
  • Accurately complete and/or update initial data entry into Case Management software
  • Ensure pre-meeting information received is complete
  • Communicate identified individualized needs to RSSs prior to initial intake interviews
  • Follow approved escalation processes if unable to meet timelines or skill set, and to obtain guidance on appropriate RSS assignment
Qualifications
  • Minimum post-secondary certificate or diploma in Business Administration, Medical Office Administration, or other relevant area
  • One (1)+ year(s) experience in an administrative role
  • Ability to multi-task and prioritize to achieve program service standards
  • High level of confidentiality and awareness of privacy requirements
  • Strong digital literacy, including MS Office, MS Teams, and SharePoint
  • Employment conditional on obtaining Federal Level Security Clearance Reliability Status
  • Bilingual (French/English) preferred
  • Understanding of medical terminology
