Job Summary:
The Manager, Counselling Centre is responsible for the day-to-day operations of the Counselling Centre, providing leadership and guidance to students, clinical supervisors, and instructors involved in practicum school activities. The successful candidate will plan and coordinate student externships, establish and maintain ties between the Counselling Centre and professional associations, the media, and the community, and participate in the Centre's publicity.
Key Responsibilities:
- Office Administration and Management:
- Maintain a solid client base to ensure a good student/client ratio.
- Evaluate the overall quality of the Centre's services; recommend improvements where necessary.
- Ensure all aspects of access to files, bring any potentially contentious cases to the attention of the Director, and ensure that files are properly followed up with students, supervisors, and instructors involved at the Centre.
- Recommend the hiring of personnel as required, in accordance with University regulations.
- Prepare contracts for signature by the Director and approve hours for clinic employees (regular and contract).
- Collect and administer all internal and external practicum evaluations.
- Monitor and update clinic statistics.
- Manage and monitor the clinic's budget, in collaboration with the School Director.
- Carry out any other tasks requested by the School Director.
- Case Management:
- Oversee the proper management of customer files.
- Administer the case assignment process (monitor student workload and capacity, case reassignment, etc.).
- Create and manage clinical supervision groups for each session, ensuring that each student is exposed to a variety of clinical supervision styles.
- Planning and Coordinating Student Placement in Practicum Settings:
- Identify institutions and organizations that can offer students a counselling and psychotherapy practicum outside the University as part of their practical training; suggest internships to students; encourage students to take advantage of training opportunities.
- Create and maintain links with managers, instructors, and supervisors for the various counselling concentrations in order to better support students.
- Supervise students' search for internships.
- Maintain strong relations between institutions and students.
- Evaluate students' overall internship experience.
- Maintain a register of internships and institutions; evaluate the quality of each placement; make appropriate recommendations on placement sites.
- Integrate assessments of in-house practicums and practical work placements.
- Link between the Counselling Centre and Professional Associations, the Media, and the Community; Centre's Publicity:
- Maintain ties between the Counselling Centre, organizations, and the community in the Ottawa area, in order to recruit new clients for the Centre.
- In collaboration with the Recruitment and Communications Services, promote the services the Centre can offer to organizations, the community, hospitals, etc.
- Respond to information requests with regards to the Centre's services, operations, and role in the training of counselling trainees.
- Publicize the Centre by inviting people to visit; offer a tour of the Centre, providing information on the services offered.
- Maintain strong relationships with various professional associations and other professionals as required.
- Represent the Centre to the public.
Knowledge and Experience:
- University degree (master's level) in Counselling or related discipline.
- Counselling experience.
- CRPO / OPAO membership.
- Experience in marketing and promotion.
- Knowledge of local community agencies and organizations.
- Case management experience.
- Experience in personnel management, administration, and budget management.
Essential Skills:
- Advanced bilingualism (English and French), both written and oral.
- Strong interpersonal skills.
- Knowledge of how to conduct assessments.
- Ability to manage files requiring professional judgment and ethics.
- Initiative, dynamism, and discretion.
- Ability to work independently and as part of a team.
