Office Coordinator

The Administrative Support Specialist plays a crucial role in ensuring the smooth operation of our office at Dynamic Physiotherapy (SG) Inc. This permanent position requires a commitment of 30 to 40 hours per week, primarily in English.
Qualifications- Education: Completion of a college, CEGEP, or other non-university certificate or diploma program lasting 1 to 2 years.
- Experience: A minimum of 7 months to less than 1 year of relevant experience or equivalent.
The successful candidate will be part of a health care institution, contributing to a budgetary responsibility of $500,001 - $1,500,000.
Key Responsibilities- Supervise a team of 5-10 staff members.
- Develop and enforce office policies and procedures.
- Establish and manage office routines and procedures.
- Coordinate and confirm appointments efficiently.
- Handle contract management tasks.
- Respond to telephone inquiries and relay messages.
- Address electronic inquiries promptly.
- Oversee report preparation and documentation.
- Provide strategic advice to senior management.
- Manage office supply orders and inventory control.
- Set up and maintain both manual and digital filing systems.
- Type and proofread various documents and correspondence.
- Deliver exceptional customer service.
- Proficient in electronic medical records systems.
- Experienced with Google Docs, MS Excel, and MS Word.
- Familiar with electronic scheduling tools and desktop publishing software.
- Knowledgeable in QuickBooks.
- Must be bondable and pass a criminal record check.
- Availability for shift or on-call work is preferred.
- Legally authorized to work in Canada.
This role requires the ability to thrive in a fast-paced environment, managing tight deadlines and a large workload while maintaining attention to detail and handling repetitive tasks.
