Events Coordinator

We are seeking a highly skilled and experienced Events Supervisor to join our team at the Toronto Pan Am Sports Centre Inc. The successful candidate will be responsible for planning, coordinating, and executing various events and special projects.
Key Responsibilities:- Lead and assist in the planning and delivery of special events, including conferences, tournaments, and commercial productions.
- Collaborate with clients to assess event needs and requirements, and coordinate logistics to ensure seamless execution.
- Coordinate with internal departments to assess and deliver on client needs and event requirements.
- Assist in the planning, sales, and delivery of birthday parties, including direct supervision of part-time host staff.
- Lead internal cross-department meetings to prepare for special events or projects.
- Act as the main contact between clients and TPASC, arranging resources as required.
- Coordinate logistics for customer experience, security, cleaning, parking, waste removal, and storage for events.
- Update and maintain the event tracking system.
- Manage event budgets and room rental budgets.
- Oversee coordination between TPASC staff from all departments for event execution.
- Assist in hiring, training, scheduling, and supervising part-time event staff.
- Lead in planning and delivering TPASC events, such as the Annual Staff Picnic and Holiday Party.
- Work with clients to resolve facility issues and concerns.
- Ensure Tri-party leaders are aware of upcoming events.
- Participate in Sport and Recreation meetings for leadership and mentorship.
- Exercise discretion and judgment in mitigating problems and situations during events.
- Meet with vendors and recommend suppliers for needed supplies and services.
- Monitor the quality of services provided.
- Assist in developing information packages for clients about the facility.
- Create invoices for completed events and follow up with payments.
- Bachelor's degree in sports or event management, or equivalent combination of education and experience.
- Minimum 2 years of event leadership and management experience.
- Minimum 5 years of related experience in athletics administration/event operations.
- Minimum 2 years of staff leadership experience.
- Strong communication, writing, and creativity skills.
- Ability to problem-solve, multi-task, and perform well under pressure.
- Positive attitude, highly motivated, and energetic.
- Efficient in MS Office and Internet.
- Ability to work flexible hours, including evenings and weekends.
