DUTIES AND RESPONSIBILITIES:
  • Assist with venue reservations and associated administrative tasks, including organizing setup, catering, and directing internal and external stakeholders to appropriate services.
  • Facilitate educational training for various programs, coordinating with instructors, participants, and the Medical Simulation Specialist.
  • Support onboarding processes for students and staff as needed.
  • Provide scheduling and administrative assistance to preceptors, educational leaders, and the Academic Affairs program as required.
  • Assist with LHEARN events, which includes scheduling educational sessions, coordinating with speakers, managing course accreditation, and overseeing registration and amenities.
  • Prepare materials for events and courses, including slide presentations, marketing content, agendas, and other essential documents.
  • Deliver administrative support, including meeting documentation, for the LH Education Council.
  • Prepare and disseminate marketing and communication materials for the LHEARN Centre, such as e-newsletters, updates for internal and external websites, and annual postcards.
  • Provide exceptional customer service to both internal and external stakeholders.
  • Utilize independent judgment and practical problem-solving skills to address issues as they arise.
  • Offer basic Audio-Visual (AV) support to users of the LHEARN Centre.
  • Serve as the Health and Safety representative for the Academic Affairs and LHEARN program.
  • Explore, develop, and implement wellness initiatives for the team.
  • Report to the Manager of Academic Affairs & LHEARN regarding opportunities for enhancement and efficiency.
  • Perform other duties as assigned.

QUALIFICATIONS:
  • Experience in an administrative or customer service capacity, ideally within a healthcare or educational environment; Office Administration Diploma is advantageous.
  • Intermediate proficiency in computer applications, including Microsoft Word, Excel, Outlook, PowerPoint, Teams, SharePoint, and Canva.
  • Exemplary communication and interpersonal skills, with a strong emphasis on customer service.
  • Proven ability to evaluate inquiries and challenges, exercising sound judgment in making appropriate referrals.
  • Demonstrated capacity to work efficiently and independently, even amidst frequent interruptions.
  • Successful track record in effectively organizing and prioritizing work tasks.
  • Ability to manage multiple responsibilities concurrently and demonstrate self-motivation.
  • Detail-oriented and results-driven approach.
  • Understanding of and commitment to comprehensive safety programs and practices, including those related to staff, patient, and environmental safety.
  • Consistent attendance record with the ability to maintain this standard.
  • Willingness to accommodate occasional evening work as required by events.
  • Flexibility to work across various sites as necessary (remote work arrangements are not suitable for this role).
  • Experience in event planning is a significant asset.
  • Skills in digital and/or print design are beneficial.
