Job Title: Cost Control and Procurement Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Cost Control and Procurement Administrator to join our team at Ontario Transit Group (OTG). As a key member of our procurement team, you will be responsible for managing the end of the procurement phase and reception management, ensuring timely confirmation and accuracy of deliveries.

Key Responsibilities:

  • Procurement Management: Manage and coordinate the reception of goods and services, ensuring timely confirmation and accuracy of deliveries.
  • Liaison with Project Sites: Liaise with project sites to facilitate the sending and reception of goods/services and confirm completion of services.
  • Record Keeping: Administer and maintain accurate records of purchase order receptions and contract progress in the CASSIUS system.
  • Collaboration with Finance Team: Collaborate with the finance team to ensure proper documentation and compliance with procurement processes.
  • Cost Control: Support cost control efforts by assisting in budget monitoring, variance analysis, and reporting.
  • Financial Reporting: Assist in the preparation of financial reports and presentations related to procurement and cost control activities.
  • Procurement Data Audits: Conduct regular audits of procurement data to identify discrepancies and ensure data integrity.
  • Administrative Support: Provide general administrative support to the cost control and finance teams as needed.

Qualifications:

  • Education: Bachelor's degree in Finance, Accounting, Business Administration, or a related field or equivalent working experience.
  • Experience: Proven experience in procurement administration, cost control, or finance roles is an asset.
  • Skills: Familiarity with procurement processes, contract management, and financial reporting. Proficiency in using procurement and finance software/tools (e.g., CASSIUS system, SAP, Oracle).
  • Personal Qualities: Strong attention to detail and accuracy in data entry and record-keeping. Excellent communication and interpersonal skills for effective collaboration with project sites and internal teams.
  • Work Environment: Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Additional Skills: Knowledge of cost control principles, budgeting, and financial analysis is a plus.
