Job Title: Portfolio Resource Coordinator

Key Responsibilities:
  • Schedule employees strategically across multiple sites to minimize overtime and ensure efficient resource allocation.
  • Enter accurate job, customer, and billing information into our system, WinTeam, with a high level of precision.
  • Provide timely assistance with short-notice or emergency scheduling requests, ensuring seamless operations.
  • Identify and escalate scheduling errors and gaps, promoting proactive problem-solving.
  • Create and distribute post-orders for special coverages, ensuring timely and accurate execution.
  • Offer coaching on scheduling techniques and best practices, empowering team members to excel.
  • Understand and adhere to contractual obligations for assigned portfolios, including site visits and training.
  • Track and submit employee mileage and travel expense reimbursements, maintaining accurate records.
  • Respond promptly to day-to-day employee inquiries, fostering a positive work environment.
  • Conduct telephone and in-person interviews for applicants and critical response teams, ensuring thorough assessments.
  • Assist with various office tasks as needed, demonstrating adaptability and a willingness to support the team.
  • Collaborate with Account Managers on missed coverage, overtime, payroll corrections, and compliance alerts, promoting a culture of accountability.
Requirements:
  • Proven ability to build strong working relationships and communicate effectively.
  • Strong leadership, strategic thinking, and problem-solving skills, with a focus on delivering results.
  • Excellent organizational, multi-tasking, and time management abilities, with a keen eye for detail.
  • Proficiency in computer usage, with a preference for applicants with an IT background.
  • Proficiency with Microsoft Office Suite and WinTeam, with a willingness to learn and adapt.
  • Ability to meet deadlines, prioritize effectively, and maintain a high level of productivity.
