Job Overview:
The Workday System Specialist plays a crucial role within the Workday Support team, focusing on the configuration, enhancement, and maintenance of Workday, the institution's cloud-based platform for Human Resources, Payroll, and Finance. This position combines analytical skills, functional expertise, and comprehensive knowledge of Workday products, serving as the primary resource for specific areas of specialization.
Key Responsibilities:
- Engage in effective requirements gathering and communication with business owners, subject matter experts, and stakeholders to design configuration solutions that address system challenges.
- Conduct testing, plan deployment, and implement selected solutions while ensuring thorough documentation is maintained throughout the change enablement process.
- Identify opportunities for enhancing user experience and improving end-to-end Workday business processes through research and evaluation of new features from Workday releases.
- Provide guidance to colleagues, Human Resources, Payroll, and Finance business owners, and end users on Workday functionality, best practices, and system limitations.
- Act as a backup resource in other functional areas of the Workday system as needed.
- Collaborate with Labour Relations, Human Resources, and Finance to ensure that changes to Workday maintain the confidentiality of sensitive documents and information.
Required Qualifications:
- Minimum three (3) year Diploma/Degree in Technology, Business/Finance, Human Resources, or a related field.
- A minimum of five (5) years of experience leading to advanced knowledge in human capital management aspects of enterprise resource planning systems.
- A minimum of three (3) years of hands-on Workday configuration experience, particularly in Core HCM and Compensation.
- Five (5) years of experience in business analysis, including documenting and communicating business needs.
- Courses in business analysis techniques such as defining and validating requirements and developing use cases.
- Workday PRO Certification in one or more areas is preferred.
- Relevant professional designations such as Certified Human Resources Professional or Certified Professional Accountant are preferred.
- Experience with additional Workday HCM modules is considered an asset.
- Strong understanding of interdependencies within the Workday platform.
- Experience in collaborative stakeholder engagement from problem identification to change management activities.
- Proficient in research, analysis, critical thinking, and problem-solving to support best practices in Workday business processes.
- Experience in test planning and supporting User Acceptance Testing (UAT).
- Ability to create training materials and user guides for various change management activities.
- Excellent communication skills, capable of explaining technical concepts to all organizational levels.
- Attention to detail to maintain Workday architecture, processes, security, and data integrity.
- Experience in defining tasks, determining priorities, and tracking progress towards completion.
- Ability to work effectively in both structured and unstructured environments under pressure.
- Experience using case management systems and collaboration tools.
- Demonstrated ability to maintain confidentiality due to access to sensitive employee information.
