THE ROLE
As the Senior Administrative Coordinator, you will deliver confidential administrative assistance to the Executive Team, with a primary focus on supporting the Vice President of Clinical Services and the Chief Nursing Executive, as well as the Vice President of Performance and Chief Financial Officer. You will collaborate closely with fellow Executive Assistants, engaging with Board Members, community stakeholders, healthcare partners, and various staff members.

KEY RESPONSIBILITIES

  • Provide comprehensive administrative support, managing sensitive information, addressing daily operational challenges, and upholding confidentiality across all communications.
  • Efficiently manage the intricate schedules of the VPs, coordinating meetings, resolving scheduling conflicts, preparing briefing documents, and ensuring all necessary arrangements are made.
  • Organize and prepare materials for meetings, including notices, agendas, reports, and minutes, while accurately documenting discussions and following up on action items.
  • Coordinate travel logistics, including conference attendance and accommodation arrangements, in alignment with the VPs' schedules.
  • Maintain a thorough understanding of hospital policies and procedures to effectively prioritize and manage meetings and events.
  • Assist with special initiatives as required, including report generation and project management, ensuring timely execution.
  • Work collaboratively with the Executive Assistant team and other personnel to promote consistency and efficiency in administrative operations, providing support to senior team members as needed.
  • Monitor and manage deliverables, ensuring deadlines are met and work plans are followed, including tracking progress and proactively addressing potential delays.
QUALIFICATIONS & EXPERIENCE
The ideal candidate will possess the following qualifications and skills:
  • College diploma in Office Administration, Business, or a related discipline.
  • A minimum of five years of administrative experience, preferably within a healthcare setting.
  • Advanced skills in Adobe Acrobat, Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, MS Teams, and SharePoint.
  • Proficient in drafting correspondence, preparing briefing materials, managing complex schedules, and organizing events.
  • Strong interpersonal abilities to engage with a diverse range of individuals with professionalism and sensitivity.
  • Exceptional communication skills, capable of conveying information clearly and concisely to various stakeholders.
  • Demonstrated organizational capabilities, including planning, time management, and multitasking, with a keen attention to detail.
  • Strong decision-making, critical thinking, and problem-solving skills to navigate unexpected challenges.
  • Ability to excel in a fast-paced environment while maintaining a high level of professionalism.
  • Consistent punctuality and a commitment to operational efficiency.
