We are seeking an experienced Administrative Assistant to join our team at Sharkish Immigration Inc. The successful candidate will provide administrative support to our consulting firm, ensuring the smooth operation of our office and contributing to the success of our business.
Key Responsibilities:- Provide administrative support to our consulting firm, including arranging seminars, conferences, and other events.
- Plan and control budgets and expenditures, ensuring efficient use of resources.
- Supervise other workers, providing guidance and support as needed.
- Establish and implement policies and procedures, ensuring compliance with company standards.
- Train other workers, promoting knowledge sharing and skill development.
- Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate records.
- Determine and establish office procedures and routines, ensuring efficient workflow.
- Oversee the classification and rating of occupations, providing expert advice.
- Plan, develop, and implement recruitment strategies, attracting top talent.
- Schedule and confirm appointments, ensuring timely meetings.
- Manage contracts, ensuring compliance with company standards.
- Manage training and development strategies, promoting employee growth.
- Answer telephone and relay telephone calls and messages, providing excellent customer service.
- Oversee the analysis of employee data and information, providing insights for business decisions.
- Answer electronic enquiries, responding to customer inquiries.
- Oversee the development of communication strategies, promoting effective communication.
- Compile data, statistics, and other information, providing valuable insights.
- Oversee the preparation of reports, ensuring accurate and timely delivery.
- Advise senior management, providing expert advice and guidance.
- Respond to employee questions and complaints, resolving issues promptly.
- Order office supplies and maintain inventory, ensuring efficient use of resources.
- Liaise with management, union officials, and HR consultants, promoting effective communication.
- Negotiate collective agreements on behalf of employers or workers, ensuring fair representation.
- Organize staff consultation and grievance procedures, promoting employee engagement.
- Oversee payroll administration, ensuring accurate and timely payment.
- Arrange travel, related itineraries, and make reservations, ensuring smooth business operations.
- Greet people and direct them to contacts or service areas, providing excellent customer service.
- Set up and maintain manual and computerized information filing systems, ensuring efficient access to information.
- Type and proofread correspondence, forms, and other documents, ensuring accuracy and professionalism.
- Conduct research, providing valuable insights for business decisions.
- Perform data entry, ensuring accurate and timely recording of information.
- Provide customer service, responding to customer inquiries and resolving issues promptly.
- Work with the marketing department to understand and communicate marketing messages to the field, promoting effective communication.
- Recruit and hire workers and carry out related staffing actions, ensuring a skilled and diverse workforce.
- Maintain and manage digital databases, ensuring accurate and timely access to information.
- Coach employees, promoting knowledge sharing and skill development.
- Perform basic bookkeeping tasks, ensuring accurate and timely recording of financial information.
- Consult with clients after sale to provide ongoing support, promoting customer satisfaction.
- Conduct performance reviews, evaluating employee performance and providing feedback.
- Supervise office and volunteer staff, providing guidance and support as needed.
- Assign, coordinate, and review projects and programs, ensuring efficient use of resources.
- Plan, organize, direct, control, and evaluate daily operations, ensuring smooth business operations.
- 1-2 years of experience in an administrative role.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Strong organizational and time management skills.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office and other software applications.
- Ability to maintain confidentiality and handle sensitive information.
