Job Title: Administration Officer

We are seeking an experienced Administration Officer to join our team at Alliance Motor Cars Ltd.

Job Summary:

The Administration Officer will be responsible for providing administrative support to our team, including reviewing and evaluating new administrative procedures, delegating work to office support staff, and establishing work priorities and ensuring procedures are followed and deadlines are met.

Key Responsibilities:
  • Review and evaluate new administrative procedures to ensure they are efficient and effective
  • Delegate work to office support staff to ensure tasks are completed in a timely manner
  • Establish work priorities and ensure procedures are followed and deadlines are met
  • Carry out administrative activities of the establishment, including administering policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
  • Co-ordinate and plan for office services, including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals, and correspondence
  • Perform data entry and train staff as needed
  • Oversee and co-ordinate office administrative procedures, including resolving conflict situations and overseeing payroll administration
Requirements:
  • 3-4 years of experience in an administrative role
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Basic security clearance and criminal record check
  • Ability to work under pressure and meet tight deadlines
  • Attention to detail and ability to multitask
  • Efficient interpersonal skills, excellent oral and written communication, flexibility, organized, reliable, ability to multitask, time management, and adaptability
