Executive Assistant

We are seeking a highly organized and detail-oriented Executive Assistant to join our team at Genie Distributors Inc.
Job Summary:The Executive Assistant will provide administrative support to our management team, ensuring the smooth operation of our office. This is a permanent position, working 30 to 40 hours per week.
Key Responsibilities:- Arrange and coordinate seminars, conferences, and other events
- Supervise and train other administrative staff
- Record and prepare minutes of meetings, seminars, and conferences
- Determine and establish office procedures and routines
- Schedule and confirm appointments
- Answer telephone calls and relay messages
- Compile data, statistics, and other information
- Order office supplies and maintain inventory
- Arrange travel and related itineraries
- Greet visitors and direct them to contacts or service areas
- Set up and maintain manual and computerized information filing systems
- Type and proofread correspondence, forms, and other documents
- Prepare contracts and other papers
- College, CEGEP, or other non-university certificate or diploma from a program of 1 to 2 years
- 1 year to less than 2 years of experience in an administrative role
- MS Excel, MS PowerPoint, MS Windows, MS Word, and Electronic Scheduler skills
- Ability to multitask, excellent oral and written communication skills, flexibility, and a team player attitude
