Position Summary

The Corporate Administrator will be expected to maintain a high degree of confidentiality while maintaining the calendar, professional correspondences, and time, of the company CEO and other executives. They will represent the executive to external partners including vendors, clients, customers, and the media. The Corporate Administrator will also perform such tasks as answering incoming calls, maintaining electronic and paper records, as well as recording and distributing meeting minutes. This role may take on several different duties and responsibilities, based on the company’s needs and requirements.

Responsibilities

- Overseeing all incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.

- Filing important documents, such as reports, meeting notes, emails, and letters.

- Keeping corporate calendars up to date, including adding events, and rescheduling meetings.

- Conducting research and creating reports on various topics based on the needs of senior leadership.

- Planning and organizing events that take place externally, such as fundraisers, sporting tournaments, and appreciation events.

- Keeping important information and documents organized physically, and electronically.

- Maintaining a high degree of discretion and confidentiality.

- Work well in collaboration with sales, strategy, and community engagement teams.

- Assist in coordinating and planning various internal and external corporate events.

- Manage 3 rd party IT Support communications.

Qualifications

- Experience in executive or administrative assistance.

- Excellent written and oral communication skills.

- Familiarity with digital marketing tools including Canva, InDesign and Photoshop.

- Proficient knowledge in MS Office 365.

- Excellent multitasking skills and ability to prioritize tasks.

- Strong planning and organizational skills.

- Exceptional attention to detail.

Education

A degree or diploma in business administration or a related field, or a combination of post secondary education and relevant work experience.
