The Office of the Faculty Registrar works closely with academic units and colleges, in the Faculty of Arts & Science concerning virtually all matters relating to Arts and Science students. Our office’s members are dedicated student service and to service excellence, and to making students’ university experience as smooth and seamless as possible. We coordinate registration and enrolment, student records, transfer credit, fees, petitions, final examinations, and graduation.

Reporting to the Associate Director, Enrolment Services & Records, the Coordinator, Records & Enrolment plans the workflow of the Records and Enrolment team in the Office of the Faculty Registrar, including all changes to student records, letter requests from students, course and program enrolment, fees assessment, records diagnostics, graduation assessment, and final mark submission and posting. The Coordinator, Records & Enrolment acts as an expert resource and first point of escalation for OFR staff, College Registrar’s Offices, and academic units for all aspects of student records and enrolment and advises staff on the interpretation of academic rules and regulations as they affect student records and enrolment.

Your responsibilities will include

- Interpreting policies in decision‑making and providing significant input into local policies, procedures and practices that are referred to in the future.
- Keeping well‑informed on University programs, policies and procedures.
- Researching and analyzing processes, programs and services and recommending changes for improvement.
- Implementing plans and process improvements for records administration activities.
- Planning and implementing components of registrarial projects.
- Documenting and maintaining standard operating procedures.
- Preparing draft statistical reports and summaries from data collected.
- Directing a small group in a limited area, including responsibility for scheduling and/or workflow.

Essential Qualifications

- Bachelor’s Degree or acceptable combination of equivalent experience.
- Minimum four years of recent and related in the management of records and enrolment/registration processes for undergraduate students.
- Experience with data analysis, reporting and database systems.
- Supervisory experience in an unionized environment.
- Experience taking the lead in project planning.
- Demonstrated experience with undergraduate degree, program, and course requirements in a post‑secondary institution.
- Demonstrated experience with ROSI (or a similar student information system) and an understanding of Degree Explorer (or similar degree assessment/audit system) and of eMarks (or similar mark submission system).
- Experience with records management and the application of Faculty of Arts and Science undergraduate calendar rules.
- Experience with data management and coordination and ensuring data integrity.
- Experience interpreting policies related to records and enrollment, and providing significant input into local policies, procedures and practices.
- Proficient in Windows and MS Office Suite.
- Excellent logical, critical thinking, problem solving, analytical and organizational skills.
- Excellent interpersonal skills with demonstrated focus on service excellence, process improvement, and professionalism.
- Excellent verbal and written communication skills.
- High level of attention to detail and accuracy and focus on data integrity.
- Demonstrated ability to contribute creatively to the improvement of business processes.
- Preference Skills with SQL and/or querying large databases an asset.

Assets (Nonessential)

- Preference will be given to applicant with experience in a registrar’s office.
- Preference will be given to applicants with in depth knowledge of policies, rules and regulations at the Faculty of Arts & Science.
