The Enrolment Management Associate is an integral part of the Community Development Department and is responsible for attracting and retaining a dynamic and diverse population of students and families who will thrive in our learning environment and who are aligned with our school culture. The position works with potential students and their families to support them in all aspects of the Lauremont School enrolment management process. This includes planning, managing and implementing an effective admissions program that tells the story of Lauremont School and creates a welcoming and personalized experience. Overall, the role is to ensure the development of a robust, exciting and competitive enrolment management program.
Reporting to the Executive Director, Community Development, this position, together with the Director of Enrolment Management, has responsibility for the planning and realization of the Enrolment Management needs of the school as determined by the School’s Strategic Plan. Components of the Enrolment Management Strategic Plan include developing a strong School identity and building a culture of welcoming. This will be done by:
- Developing and maintaining enrolment and re-enrolment objectives,
- Understanding why parents come to Lauremont School and how to keep them engaged throughout their Lauremont School journey and,
- Gathering, tracking and making sense of data about enrolment, re-enrolment, the admissions funnel, enrolment management trends and parent questions, concerns, and interests.
Responsibilities
Leadership
- Key member of the Community Development Team, working collaboratively with all departments within the team.
- Advise and support the Community Development strategy as required
- Communicate the school’s programs, offerings, prospective candidates and their families through Open Houses, Information Sessions, personal interviews, tours and written communication.
- Be able to well articulate key aspects of both the Montessori and IB pedagogies.
- This role will support all areas of the school but will have primary responsibility for Upper School applicants (Grades 7-12).
- Support the applicant experience from point of inquiry through enrolment (entering applications, scheduling testing’s and then sending acceptance, waitlist or decline letters).
- Evaluate potential candidates and co-ordinate entrance testing for prospective students (individual and group assessments as well as online).
- Prepare acceptance letters for all applications advising of acceptance/placement on wait list and deal with follow up inquiries with families.
- Together with the Enrolment Management team:
- Generate and analyze statistical data pertaining to attraction, retention and enrolment to inform practice and contribute to the strategic direction of the school
- Administer Blackbaud for student records, re-enrolment, fee collection, wait-list management and accuracy of data on both systems K12 and Education Edge
- Conduct market-specific research in order to set enrolment targets and support short and longterm strategic planning
- Track and maintain a range of metrics (how parents find Lauremont School, % who register after coming to open houses/information sessions, admissions funnel etc.).
- Create and manage all Enrolment Management forms.
- Manage all aspects of the OSRs (including sending and receiving to other schools)
- Support the annual re-enrolment process, tracking the enrolment responses of current families and following up as required.
- Together with the Enrolment Management Team, conduct exit interviews to determine where families have gone and their reasons for leaving Lauremont School.
- Manage annual Blackbaud roll-over by grade
Marketing/Promotion
- Work with the Director of Strategic Communications and Marketing concerning all aspects of marketing and communications for website, social media, promotional events (open houses, trade shows) and publications.
- Assist with marketing of the school, internally through information sessions, school tours, new parent events etc. and externally, through trade shows and other promotional events.
- Prepare and revise, on an ongoing basis, information packages for mailing to prospective parents/students.
Community Engagement
- Work closely with the Academic Heads to share issues affecting enrolment (i.e., students not returning).
- Together with the Director, Strategic Communications and Marketing, develop invitations for all parent orientations (e.g. Moving up meeting, Meet the teacher evening etc.).
- Work closely with staff, students, alumni and parents together with the Community Development team in developing a strong sense of school community.
- Work with the Upper School Student Council and Student Ambassadors to develop a robust ambassador program to support their involvement in the admissions process (e.g., tours).
- Assist with events of benefit to the Lauremont School Community (parent, student, alumni and community events).

Qualifications
- Post-secondary education
- Proven experience within the same or similar field
- Excellent communication skills, oral and written
- Proven ability to handle competing priorities under a heavy workload
- Strong attention to detail and accuracy
- Excellent presentation skills
- Current Standard First Aid, CPR, and AED
