NOTICE OF TEMPORARY M.A.S.S. VACANCY
Position: Temporary Indigenous Education & Equity Department Assistant
Salary: $ 35.67 to $ 42.53 per hour (Band 3) + 4% vacation pay
Location: Indigenous Rights & Education Department, New Street Education Centre
Work Schedule: 35 hours/week, 12 months/year
Start Date: January 5, 2026 to August 31, 2026
Position Summary
The assistant provides support to the Indigenous Rights and Education department and the Human Rights, Equity and Inclusive Education department. The position supports the servicing of Indigenous Rights and Education, and also assists in HDSB’s work towards Human Rights, Equity and Inclusive education.
Responsibilities
- Supports with the ordering and purchasing of resource materials for departments
- General bookkeeping (e.g., reviewing invoices, reconciling bank statements)
- Assists in planning of special days (e.g., National Day for Truth and Reconciliation, Human Rights Symposium) and system-wide professional learning activities (e.g., room/site bookings/rentals, ordering required technology, arranging catering, managing registrations, design promotion flyers)
- Data entry and record keeping (e.g., regularly updates confidential information such as student and family self-identification data, and community requests)
- Assist with media presentations (e.g., newsletters, flyers, posters)
- Assists with the organizing of departmental meetings (e.g.,updates system calendars, booking rooms/spaces, orders catering and equipment, assists with system-wide communications, assists with meeting agendas and minutes)
- Support in the planning and delivery of community events, this may involve evening hours (if this is the case, lieu time will be arranged through System Principals)
- Assist with the organizing of transportation for students and their families to attend departmental and/or HDSB events
- Assists with the development of interim and summary reports
- Assists with system-wide and community-wide communications as needed
- Responds to internal and community queries and requests
- Assist with community and post-secondary liaison
Qualifications
- One year College Certificate in HR Administration or Office Administration, or equivalent experience
- One year relevant work experience in a large organization
- Strong organizational skills
- Excellent communication skills (empathic listener, compassionate, articulate)
- Strong interpersonal and compassion skills
- Strong teamwork skills
- Self-motivated

- Strong understanding of public sector accountability
- General purchasing and ordering skills
- General bookkeeping skills (verifying receipts, invoicing, monitoring accounts, bank reconciliation)

- Experience with technology and software (e.g., g-suite tools, spreadsheets, presentation tools)
- Computer and communication equipment skills (e.g., setting up PC, Mac, data projectors, audio and sound systems)
- Data management skills (compiling data or facts, record keeping, updating confidential information)
- Strong event planning skills (coordinating activities or events, booking spaces, ordering catering, managing calendars)
Preferred Qualifications
- Completed College Diploma or University Degree in Business or Public Administration, or related field
- One year relevant work experience in public sector
- Awareness of what Indigenous Rights and Human Rights means in the educational context
- Experience in a senior clerical or executive secretarial position
- Qualifications or experiences related to senior clerical or executive assistant positions in office administration
