Position Summary

The Accounting Clerk is responsible for supporting the day-to-day accounting and administrative functions of the dealership. Working under the direction of the Controller, you will assist with a variety of tasks including accounts payable, accounts receivable, data entry, and general ledger support. This role requires strong attention to detail, excellent organizational skills, and the ability to maintain confidentiality.

Key Responsibilities

1. Accounts Payable (A/P)

1. Verify and process invoices, purchase orders, and expense reports.

2. Reconcile vendor statements and manage timely payments.

3. Coordinate with vendors regarding discrepancies and payment status.

2. Accounts Receivable (A/R)

1. Prepare and send invoices.

2. Monitor and follow up on outstanding balances to ensure timely collections.

3. Post payments and prepare bank deposits.

3. General Ledger Maintenance

1. Input financial data accurately and efficiently into the dealership management software Quorum.

2. Assist with month-end and year-end closings, including account reconciliations.

3. Prepare regular financial reports and statements as requested by management.

4. Administrative Support

1. Maintain organized and accurate digital and physical filing systems of financial documents.

2. Provide general support to the Accounting Department (e.g., answering phones, responding to emails, etc).

5. Compliance and Audit

1. Ensure all financial transactions comply with dealership policies, internal controls, and relevant provincial (Ontario) and federal (Canada) regulations.

2. Support internal and external audit requests.

Qualifications & Skills

Education & Experience:

1. Diploma or degree in Accounting, Finance, or a related field; or equivalent work experience.
2. At least some accounting experience (experience in an automotive dealership environment is an asset).

Technical Proficiency:

1. Proficiency in Microsoft Office (Word, Excel, Outlook) is required.
2. Familiarity with accounting or dealership management software Quorum is an asset.

Communication & Interpersonal Skills:

1. Strong written and verbal communication skills.
2. Ability to interact professionally with colleagues, vendors, and customers.

Organizational Skills & Attention to Detail:

1. Proven ability to handle multiple tasks and prioritize workload efficiently.
2. Excellent attention to detail, accuracy, and confidentiality.

Regulatory Knowledge & Compliance:

1. General awareness of relevant provincial (Occupational Health and Safety Act, Accessibility for Ontarians with Disabilities Act) and federal (Personal Information Protection and Electronic Documents Act) regulations.
2. Commitment to adhering to all company policies, legal guidelines, and best practices.
