Assistant Manager, Administration, Logistics & Production

We are currently seeking a Temporary Full-Time Assistant Manager to join our Education and Programming team. Under the direction of Richard and Elizabeth Currie, Chief, Education and Programming, the incumbent will support the Education and Programming Division with managing administration, program logistics and production, along with administrative support to the Chief, Education and Programming and the Associate Director, Lifelong Learning and Engagement and Operations. The Assistant Manager develops and manages the processes, logistics, metrics and scheduling of all division activities and programs to maximize efficiency and integration. They will also mentor and train other department staff in the three areas of the division (Teacher and School Programs and Adult Experiential Learning, Camps and Courses, and Family and Public Programs) to transition to lead and organize their logistics and production. The Assistant Manager also contributes to a generative, positive working environment that supports the AGO’s mission of art, audience, and learning, and aligns with AGO’s values of respect, openness, collaboration, and accountability.
The rate of pay for this position is $40.37 - $50.42 per hour.
What is this position responsible for?
- In collaboration with the three areas of the division, supports the overall Education and Programming Division by overseeing the administration, logistics, and production of all divisional programs and activities. Manages support the team with the timely and accurate creation, approval and distribution of work orders and SEOs. Establishes long-range and weekly schedules for the Education and Programming Division including staffing requirements and program activities. Supports the Chief, Education and Programming, and the Associate Director, Lifelong Learning and Engagement, and Operations with administrative support.
- Mentor, train, and offer organizational support to Education and Programming staff related to production in their area, and support with creating a sustainable tracking and communication system.
- Establishes and manages an integrated divisional calendarization system that captures all divisional activity and programming, including in the Weston Family Learning Centre. Monitors how individual programs relate to one another and identifies potential risks and opportunities for efficiencies. Develops an efficient system to share and access across the division, and mentors the Education and Programming team to maintain the calendar. Works with other departments across the Gallery to ensure seamless integration and implementation of divisional activity into existing institutional systems and procedures. Serves as divisional liaison to Logistics & Gallery Support Services, Building Operations, Health and Safety, and Visitor Experience departments.
- Collaborates with other Education and Programming Managers to ensure the delivery of services in accordance with department systems and procedures and applicable collective agreements and AGO’s policies and procedures on security, administration, human resources, and department manager/supervisor responsibilities for workplace health and safety.
- Tracks and supports the successful completion of key marketing, membership, website, and publicity copy deadlines and approvals to ensure timely, accurate and consistent delivery of all materials. Supports the Chief, Education and Programming and the Associate Director, Lifelong Learning and Engagement, and Operations to ensure the tracking and reporting of divisional program attendance and statistics, and to build in accountability of Education and Programming teams to be submitting the data accurately and on time.
What are we looking for?
- Three-to-five years of experience working in a museum or cultural institution with demonstrated experience related to administration, logistics management and event/program production using and implementing a wide range of tools and administrative systems, services, and practices.
- Demonstrated experience directly managing staff and collaborating with multiple stakeholders in a complex, fast-paced, high-pressure environment including establishing and adhering to timelines, and supporting staff accountability to meet timelines.
- Demonstrated experience in mentoring staff in learning procedures, monitoring and tracking of production and logistics, and the collection and tracking of statistics, and feedback.
- Collaborative working skills and demonstrated ability to work with the leadership team.
- Exceptional interpersonal, organizational, verbal, and written communication skills.
- Knowledge and understanding of visual arts, visual arts education, and programming.
- Demonstrated experience providing project management support.
- Exceptional Microsoft Office, word processing, presentation, electronic calendaring, and messaging skills.
- Experience generating statistical and non-statistical reports and briefing documents.
- Related experience developing and implementing office practices and procedures.
- Broad knowledge of current museum practice, in particular the role of education and public programming.
- Experience working in a unionized environment is an asset.
