We are seeking an Executive Assistant to join our Operations team, who will drive seamless administrative support, manage special projects, and ensure smooth day-to-day operations across our regional and global offices.
What you’ll do
Executive & Administrative Support
- Provide top-level administrative assistance to executives, including calendar management, meeting coordination, and travel arrangements across the Philippines, South Korea, and Canada.
- Act as a communication bridge between executives and internal teams, ensuring alignment on priorities, projects, and follow-ups.
- Manage and protect sensitive information and documentation with utmost confidentiality.
Office Operations & Logistics
- Oversee daily operations across BGC, Laguna, Zamboanga, and future sites, ensuring facilities, supplies, and office systems are running efficiently.
- Handle procurement and inventory of office supplies, tools, and necessities to maintain operational readiness.
- Coordinate company events, internal celebrations, and conferences—from planning to execution.
Project Management & Cross-Team Coordination
- Lead and support internal projects from planning to execution—tracking timelines, deliverables, and stakeholder engagement.
- Collaborate with department heads to ensure executive-led initiatives are progressing according to plan.
- Monitor project risks, bottlenecks, and outcomes, ensuring follow-through on all action items.
- Assist in preparing reports, presentations, and updates for leadership review.
What we look for
- Experience: 3–5 years as an Executive Assistant, Office Administrator, or Project Coordinator in a fast-paced environment.
- Education: Bachelor’s degree in Business Administration, Office Management, or a related field.
- Project Management: Experience leading or coordinating cross-functional projects and timelines.
- Organization: Strong multitasking, prioritization, and attention to detail.
- Communication: Excellent interpersonal and written skills.
- Tech-Savvy: Proficient in Microsoft Office (Word, Excel, PowerPoint), and familiar with scheduling, travel, and project tracking tools.
- Discretion: Proven ability to handle confidential information with professionalism.
- Adaptability: Comfortable managing both small tasks and high-level executive support.
