Location:

This role is remote, providing the flexibility to work from home. However, candidates must reside in the Greater Toronto Area (GTA) and be prepared to attend in-person meetings as required. Occasional travel to client sites or conferences may also be necessary.

Position Overview:

We're seeking a proactive and detail-oriented Executive Assistant (EA) to support the CEO and senior leadership team. You will play a pivotal role in enabling leadership effectiveness by handling administrative tasks, managing priorities, and keeping workflows streamlined in a fast-paced environment. Additionally, you will provide administrative support to large enterprise level accounts in addition to supporting leadership teams to ensure operational efficiency and coordination across the business with occasional client facing meetings.

This role requires someone with exceptional organizational skills, the ability to multitask, and a solution-oriented mindset.

Requirements

Key Responsibilities

Leadership Support:

- Manage calendars, appointments, emails, and schedules for the CEO and the leadership team.

- Arrange and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.

- Prioritize competing tasks, acting as a gatekeeper to ensure leadership time is optimized.

- Handle sensitive information with confidentiality and professionalism.

- Support leadership with travel arrangements, itineraries, and expense management.

- Assist in coordinating in administrative activities on an enterprise level account, projects, and deliverables

- Support operational processes, including document creation and management, team communications, and reporting.

- Schedule and organize cross-functional meetings and workshops for the enterprise level account teams.

- Collaborate with internal teams to provide support on client-facing projects when necessary.

General Administrative Duties:

- Prepare and edit correspondence, presentations, and reports for leadership.

- Act as a point of contact for internal and external stakeholders, ensuring smooth communication.

- Manage office supplies, tools, or systems to enable smooth day-to-day operations.

- Support onboarding efforts for new team members within leadership and DXP teams.

- Proactively identify opportunities to streamline workflows and improve processes.

What You'll Bring

- Experience:

- 3+ years as an Executive Assistant or similar administrative role, ideally supporting multiple leaders in a fast-paced environment. Experience in a technology or digital organization is a plus.

- Skills:

- Exceptional time management, organizational, and multitasking skills.

- Proficiency in tools such as Microsoft Office Suite, Google Workspace, Slack, Zoom, and project management tools (e.g., Asana, Monday.com, or Trello).

- Strong written and verbal communication skills.

- Ability to prioritize, problem-solve, and work under pressure in a dynamic environment.

- Tech-savvy and adaptable to new systems and processes.
