We are looking for a Clinic Coordinator to complete an awesome support team in a small but busy clinic. This is a "Jack/Jill" of all trades coordinator/management hybrid position, perfect for someone with flexibility in their schedule and who is seeking healthcare-related management experience. The position is mostly remote with some onsite hours, offering a great balance of independence and collaborative work.

The Clinic Coordinator will play a vital role in overseeing day-to-day operations, including reception duties, administrative support, technical troubleshooting, and helping with clinic maintenance. You will work closely with other team members, vendors, and clients to ensure smooth operations, making this role ideal for someone who thrives in a dynamic, fast-paced environment.

We are currently seeking one Clinic Coordinator to ensure 7 days/week coverage. Occasional additional vacation coverage for the other coordinator may be required. Ideal candidates will be located near downtown Toronto, as this will provide flexibility for in-clinic duties.

The role requires logging hours independently and committing to a two-year contract.

Responsibilities

1. Reception: Handle calls/messages; quick response required.
2. Accounting Support: Basic QuickBooks, AP/AR tasks (training provided).
3. Technical Support: Use Janeapp, G-Suite, Fiverr; tech proficiency needed (training available).
4. Cleaning: Weekly clinic cleaning (washrooms, vacuuming, dusting).
5. Maintenance: Basic onsite tasks (safety checks, plant care, low-level repairs).
6. Purchasing Supplies: Inventory checks, online/in-person shopping, delivery to clinic.
7. Errands: Paid travel time for supply runs, must be near downtown/Bloor line.
8. Supervising: Oversee staff, vendors, and tradespeople.
9. HR Support: Assist with onboarding/offboarding new hires.
10. Miscellaneous: Key cutting, landlord/tenant communication, admin tasks.
11. Ad-hoc Projects: Assist Clinic Owner with sourcing vendors, document creation.
12. Fill-in Duties: Cover shifts for absent support staff.
