TransX Ltd is currently recruiting for a Supervisor, Payroll & Settlements ,to join our Human Resources Department. We are looking for a continuous improvement specialist who can identify bottlenecks, eliminate manual workarounds, and build a scalable, "best-in-class" payroll function. In this role, reporting to the Manager, Payroll & Settlements, you won’t just oversee the day‑to‑day execution of payroll for both Canada and the US; you will be the primary architect of our internal systems. This pivotal role goes beyond routine payroll processing and is instrumental in designing, implementing, and optimizing our payroll workflows to enhance efficiency, accuracy, and compliance. The Supervisor leads a team of payroll clerks of Payroll & Settlements professionals, supporting their ongoing development and partnering in escalations and complex payroll matters. Key Responsibilities 1. Payroll Processing - Oversee accurate, high‑volume payroll.ini processing across multiple jurisdictions, ensuring timely and compliant payments, deductions, الوقت remittances. - Manage the collection, processing, and documentation of payroll updates, including new hires, terminations, and pay rate changes. - Partner closely with Human Resources to ensure payroll information is complete, accurate, and aligned with employment terms and conditions. - Handle complex payroll scenarios such as gradual return‑to‑work arrangements, expense reimbursements, and mid‑year compensation or benefits adjustments. - Manage deductions, remittances, and reconciliation of benefits and pension plans. - Perform complex calculations related to compensation, benefits, and pensions for employees departing mid‑year. - Model collaboration, shared leadership, inclusion, and a coaching mindset in all interactions. - Contribute as a member of the HR leadership team on decisions related to resource planning, operational needs, program prioritization, and issue management. - Provide guidance and support to leaders and employees on payroll and settlements policies, legislation, and best practices. - Supervise Payroll Service Representatives, overseeing daily gair processing functions and ensuring accuracy and efficiency. - Assign daily responsibilities, adjust priorities, and resolve operational issues as they arise. - Streamline manual processes and lead performance management, coaching, and goal‑setting activities. - Advise on payroll activities and program components to ensure effective departmental operations. /ട 3. Organizational & Process Improvement - Design, document, and implement streamlined payroll workflows to reduce manual intervention and strengthen internal controls. - Identify and resolve process bottlenecks and system issues using strong analytical and problem‑solving skills. - Participate as a key member of project teams for payroll system upgrades or new software implementations. - Develop, implement, and maintain payroll policies and procedures. 4. Compliance, Audit & Reporting - Support internal and external audits, including payroll and WCB audits. - Prepare and analyze payroll reports for management insights, using advanced Excel tools such as pivot tables and VLOOKUPs. - Balance payroll accounts by auditing data, resolving discrepancies, and preparing journal entries. - Investigate payroll discrepancies (e.g., timesheets, vacation balances) to ensure accuracy and compliance. - Assist with income tax preparation, including tax forms and year‑end documentation. - Support WCB year‑end reporting and filings. - Verify payroll‑related information such as direct deposits, wage attachments, and benefits. - Respond to inquiries and act as a resource on benefit issuesPlaces ensuring accurate premium deductions and timely processing. Skills & Functional Knowledge - Proven experience leading process improvement initiatives or system implementation/migration projects within payroll. sageli /> - Strong ability to create workflows, manuals, and standard operating procedures. - Exceptional analytical, problem‑solving, and planning skills with meticulous attention to detail. - Strong knowledge of Canadian payroll legislation (Employment Standards, EI, CPPNap, WCB, income tax, benefit plans). - Working knowledge of U.S. payroll and benefits regulations (e.g., COBRA) is an asset. - Ability to navigate ambiguity and make sound decisions with incomplete information. - Excellent communication, interpersonal, and conflict‑resolution skills. - High integrity and professionalism when handling confidential information. - Ability to work under pressure, manage interruptions, and meet strict deadlines. - Advanced proficiency in Microsoft Excel and strong computer literacy across payroll and HRIS systems. - Demonstrated ability to build strong internal and external working relationships. Education & Experience - Post‑secondary education in Human Resources, Business Administration, Accounting, or a related field (or equivalent experience). - Minimum 5 years of payroll experience, including 3 years in the transportation sector. - Minimum 3 years of progressive supervisory experience in a payroll environment. - Experience with ADP Workforce Now is required. - Active membership with the Canadian Payroll Association; working toward the CPM designation is an asset. - Strong proficiency with integrated HR/payroll systems and advanced computer applications (Excel, Access, Word, etc.).
