Role Overview – Manager of Operations (Edmonton based)

The Manager of Operations (MOO) will oversee regional and project teams while embodying the company's core values. Reporting to the Vice President of Operations (DOO), the MOO will be responsible for supporting the operational and financial performance of a portfolio that spans multiple regions and projects. The MOO will work closely with a centralized administration team and manage a team of project supervisors.

The MOO will contribute to the successful management of project operations and support revenue and profitability across their assigned regions and projects. This role involves providing feedback on both technical and process improvements, aligned with Inline's strategic and operational objectives. As a key player in continuous improvement and process management initiatives, the MOO will help drive efficiency and innovation.

In this role, the MOO should possess a strong technical foundation, enabling them to offer valuable feedback to project teams while addressing operational challenges alongside clients. A focus on project/business development will help foster growth, ensuring that revenue generation and profitability are maximized. Strong communication skills and expertise in change management will be key to success.

The MOO will work alongside Project Supervisors and Site Managers, guiding their performance and helping ensure their success is aligned with the broader business goals. Travel to project sites and regional locations is required, with approximately 20-40% of the time spent on-site or traveling.

Responsibilities

Client Relations

- Relationship Building: Develop and sustain strong relationships with clients across regions and projects, serving as a point of contact for client matters outside day-to-day operations, including supporting business development efforts.
- Client Needs & Tailored Solutions: Understand client needs and collaborate with the operations team to deliver tailored solutions that meet specific requirements.
- Project Team Coordination: Work with project teams to ensure high-quality service and consistent support to regional clients.
- Client Feedback & Market Insights: Collect and apply client feedback and market insights to drive service improvements and strategic decision-making.
- Relationship Management: Maintain positive client relationships by understanding needs and managing expectations.
- Business Development Support: Assist the Business Development (BD) team with presentations, client engagements, and preconstruction efforts like estimating and proposal approvals.
- Negotiation & Contract Management: Support in negotiations with key client representatives, ensuring mutually beneficial agreements.

Contract Management

- Client Queries & Concerns: Support in addressing client queries and concerns escalated from the VPO and/or President, especially those with significant contractual or reputational implications.
- Dispute Resolution: Act as the main point of contact for resolving minor contractual disputes (e.g., financial, people-related, etc.).
- Budget & PO Monitoring: Monitor and assist in establishing budgets and purchase orders with clients.

Project Forecasting & Execution

- Resource Planning: Monitor resource needs, anticipate requirements, and assist with forecasting labor mobilizations, project deliverables, tools/materials, and equipment requirements.
- Kick-off Meetings: Participate in both internal and external project kick-off meetings, sharing relevant details with teams and stakeholders.
- Monthly Forecasting: Assist in preparing and submitting monthly forecasting reports for senior leadership.

Regional & Project Contribution Margin, and Revenue Generation

- Financial Reporting: Regularly assess financial reports (e.g., LEM status, AR>60, project profitability) and ensure alignment with project goals. Provide timely and accurate reports to management.
- Profitability & Forecasting: Assist in maintaining forecasts and driving profitability improvement based on project data.
- Revenue Growth: Support revenue generation and project development within the regional operations portfolio.

Project Deliverables

- Timeline Adherence: Ensure external stakeholder timelines are met, working with clients to establish schedules before project start and continuing throughout execution.
- Communication Lines: Maintain clear communication channels with project team members to ensure smooth operations from field to completion.
- Safety & Quality: Enforce safety and quality standards in collaboration with SMEs and project supervisors.
- Conflict Resolution: Lead non-conformance and conflict resolution efforts with the support of SMEs or senior management.

Leadership

- Team Development: Support the hiring, development, and performance management of project supervisors.
- Coaching & Mentoring: Conduct weekly one-on-ones with direct reports to provide coaching and mentorship.
- Project Planning: Collaborate with the Technical Services team to ensure projects are well-planned and aligned with the 'Inline Experience.'
- Project Risk & Logistics: Assist in project planning by helping assess risks, gather information, assign responsibilities, and define logistics strategies.
- Non-Conformance Guidance: Provide guidance on non-conformance issues and assist with implementing corrective actions.
- Conflict & Employee Relations: Support conflict resolution and promote a respectful work environment.

Qualifications

- A minimum of 7 years of industry experience, with a Diploma or Degree in Civil Engineering, Engineering Technology, Geomatics Technology, or a related field.
- If the MOO does not hold a diploma, 5 years of experience in surveying or materials testing may be considered equivalent, in addition to the required industry experience (approximately 12 years total).
- Strong leadership capabilities with excellent communication skills, a positive attitude, and the ability to solve problems effectively.
- Experience and connections within the Infrastructure sector would be considered an asset.
