Triple Eight Transport is an asset-based carrier company with terminals in Abbotsford, Calgary and Edmonton We provide Full Truck Load Transportation Services to and from major cities in Western Canada and Western US.

If you're a self-starter who is motivated by providing top-notch service and support, Triple Eight Transport is looking for someone to join us as a Project Coordinator**.**

In this full-time role, you will play a key part of supporting our Management team. You will put your skills to work providing exemplary services and supporting our business.

You will be reporting to the Director, and liaise directly with our Senior Leadership Team, management teams, external vendors and internal departments regarding Capital costs actual to budget and control spend.

**What you’ll do**:

- Track all negotiated contract for vendor pricing
- Reconcile vendor invoices prior to sending to necessary approval levels
- Completes all duties to ensure invoices are matched with purchase orders, coded and submitted to AP
- Address inquiries received from vendors and internal departments in a timely manner
- Supplies copies of invoices and other supporting documents to promptly resolve issues and concerns
- Participates in any other special projects undertaken by department as necessary.
- Participates in training when there are system or process changes.
- Update customer spreadsheet with recurring beneficial items
- Cancel recurring beneficial items immediately upon notice of client notice (i.e. fax or phone lines)

- Responsible for processing of various admin documents, systems data inputting, maintenance of information and accessing various computer programs.
- Schedule appointments and coordinate arrangements for meetings and conferences.
- Coordinate and maintain the executives correspondences and records, following up on pending matters with limited direction.
- Report preparations and assisting with analyzing, collecting and summarizing data.
- Responding to written and verbal communications and liaises internally and externally to share information, clarify details, and ensure follow up.
- Produce timely, accurate and well formatted documents using various word processing, spreadsheet and presentation software packages.
- Enter and collect data and compile relevant statistics information and reports.

**What you bring**:

- Post-secondary education equivalent to a university degree or College Diploma
- Good understanding of basic accounting principles
- Ability to organize and prioritize work, handle multiple priorities, meet deadlines and create schedules
- Strong computer skills in Word, Excel, Access and PowerPoint
- Professional, enthusiastic, dependable, flexible.
- Ability to work in team environment
- Organizational and strong interpersonal skills

**Job Requirements**:

- Experience in the transport industry is a plus but not required.
- Flexible schedule with the ability to work overtime as needed.

**Responsibilities**:

- Create project schedules for all projects in the queue, including submittals, bids, and invoices.
- Create project documents such as BOLs, Gantt charts, etc. for all projects that are submitted for bid or purchase order.
- Prepare project reports for all projects that are bid or purchased orders. (This includes creating the bid or purchase order.)
- Prepare invoices for all projects that are submitted for bid or purchase order. (This includes submittals, BOLs, Gantt charts, etc.)
- Prepare payment requests for all projects that are bid or purchase orders. (This includes creating invoices, making payment requests, and sending invoices.)
- Assist with subcontractor invoicing and payment invoicing on all projects that are submittable for bid or purchase order. (This includes creating subcontractor invoices and making payment invoices.)
- Assist with vendor management of vendors on all projects that are submittable for bid or purchase order. (This includes setting up new vendors and communicating with vendors regarding the status of the project.)
