**Job brief**

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to the director and employees, assisting in daily office needs and managing our company’s general administrative activities.

**Responsibilities**
- Maintain and update children and employees records, files, and databases
- Answer and direct phone calls
- Greet and assist visitors, parents, children and employees in a friendly and welcoming manner
- Communicate with parents about a child absence, payments due date, special events
- Assist with the day-to-day operations of the Dayacre/ Preschool
- Collect tuition fees, issue invoices, and receipts
- Maintain computer spreadsheets with children and employees information for easy reference
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Submit and reconcile expense reports
- Provide general support to families
- Act as the point of contact for internal and external clients

**Requirements and Skills**
- Knowledge of office management systems and procedures
- Handle confidential information with discretion and tact
- Working knowledge of office equipment, like printers and scanner machines
- Proficiency in MS Office (MS Excel in particular)
- Ability to learn new software programs
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Professionalim, high work ethics, and commitment
- Solid interpersonal skills
- Excellent written and verbal communication skills in both Arabic and English
- Strong organizational skills with the ability to multi-task
- Ability to work independently and with minimum guidance
- Problem solving and ability to find solutions
- Ability to work under pressure in a high traffic center
- Ability to stay up-to-date on the personal and career developments to keep the skills relevant and maintain a competitive advantage in the workplace
- Perform other duties as assigned
- Certificate / Diploma as an Administrative Assistant or Secretary
- Certificate in early childhood education ( Level 1) is an asset

**Salary**: $17.00-$22.00 per hour

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (preferred)
