Office and Customer Experience Coordinator

**Responsibilities**
Office:
- Manage site security and building access by generating keys, badges, and other necessary tools
- Handle the ordering and management of all office supplies to ensure adequate stock levels
- Oversee IT management and asset tagging processes
- Administer meeting room logistics and ensure efficient room utilization
- Provide oversight for compliance matters as required
- Support Finance and HR teams with tasks when needed
- Assist the VP & GM with administrative duties and expense management
- Perform general office duties as assigned
Customer and Vendor Experience:
- Act as the primary point of contact for customer inquiries, visits, manage incoming phone calls, messages, and manage the ilobby system administration
- Coordinate customer experience activities, such as maintaining office appearance, arranging meals and beverages, and providing information
- Handle mail retrieval, opening, and distribution
- Ensure site security, screenings, and proper building access procedures
- Serve as the main contact for administrative functions with vendors, including uniforms, coffee service, and shredding
- Assist in the setup and coordination of external tradeshow events
- Maintain the contract management library for NDAs and MDAs
Additional Responsibilities:
- Be prepared to take on additional roles and responsibilities as assigned by management when necessary.
**Requirements**:
- College graduate with a background in administration or a related field
- Minimum of 3 years of experience in an office environment
- Proficiency in MS Office and Share Point
- Strong customer service and communication skills
- Ability to effectively multi-task and prioritize tasks
- Excellent organizational skills to maintain a well-structured office environment
- Ability to work collaboratively in a team setting
- Proactive approach, taking initiative and ownership in tasks and projects
