**The Role**
- The primary function of this position is to provide day-to-day supervision to Learning Centre staff at both campus Learning Centres and to provide administrative support to functions within the Learning Centre to ensure high quality service delivery to students, faculty and staff. Additional responsibilities include marketing for the Learning Centre and the scheduling and training of staff in operations and safety procedures while providing client-centered service on a consistent basis to all stakeholder groups.**Responsibilities**
- 1. Performs a variety of administrative support functions to facilitate effective operations
- a) Recommends and initiates capital purchases and facilitates staff input into budgeting and departmental and college planning processes;
- b) Analyzes, plans, recommends strategies and projects to increase the effectiveness and efficiency of operations and applies these strategies to new, or existing activities/services to meet needs;
- c) Analyzes, implements and revises policies, procedures and processes, and ensures that operations performed by staff and student assistants are consistent with Learning Centre and college policies, operations manuals and health and safety standards;
- d) Projects and manages tutor budget in accordance with established guidelines; oversees recording and tracking of Learning Centre activities through student attendance, faculty referrals, workshop attendance, computer use and student/faculty surveys; oversees collections and compilation of semester end statistics for reporting purposes
- e) Analyzes, plans and recommends changes with regard to floor plan, furniture, fixtures, equipment, lighting and signage to increase effectiveness of physical space;
- f) Evaluates and maintains technologies and equipment requirements and liaises with purchasing department, CEIT and outside vendors as required;
- g) Liaises with Library supervisors and LR Admin Officer, with respect to physical plant and shared operations/activities/committees,.
- h) Leads and/or participates in Learning Resources and Learning Centre Committees as required
- 2. Supervises the daily operation of positions under her/his responsibility
- b) Defines expectations and performance objectives for staff and assists them in meeting them through appropriate training and professional development opportunities
- c) Approves time sheets, vacation, sick leave, and other leaves and assigns and approves work schedules;
- d) Completes performance appraisals and recommends performance improvement objectives;
- e) Provides input into staff job descriptions, recommending changes as needed;
- f) Refers to the BCGEU Collective Agreement as required and applies it to daily decision-making within established standards
- g) Facilitates and fosters a team environment and resolves conflict within the unit, and with LR clients;
- h) Ensures adequate coverage for areas of responsibility, and within existing budget parameters;
- i) Facilitates staff input into the development, evaluation, and revision of departmental plans, priorities, policies and procedures;
- j) Provides leadership and support to Service Coordinators in their work interviewing, hiring and managing the performance of student assistants in collaboration with faculty; coordinates orientation of student assistants and ensures the provision of ongoing instruction and Learning Centre operational training;
- k) Maintains consistent communication both written and verbal, with all Learning Centre personnel, to ensure consistency with all Learning Resources policy, operations and standards;
- l) Coordinates staff input into the development, evaluation and revision of Learning Centre procedures
- m) Opens/closes the Learning Centre;.
- 3. Performs a variety of tasks related to the provision of services to students and others
- a) Responds to requests for services, user inquiries and resolves incidents in a timely manner in accordance with established policies and procedures;
- b) Receives and handles user concerns and complaints, taking immediate action to resolve them as needed;
- c) Contributes to and maintains, and documents operating and escalation procedures, directing staff and users to appropriate LR and College procedures/personnel as needed;
- d) Maintains confidentiality of all sensitive and confidential HR and user records, both print and online;
