Destination Canada is looking for an **Executive Assistant, Brand and Partnerships** to join our Vancouver team as we inspire travellers to explore Canada.

This role provides administrative and project coordination support and services to the Executive Director, Industry Partnerships, and the Executive Director, Brand Strategy (the Executives) and their teams.

**DUTIES** : This position requires a significant amount of administrative and repetitive tasks. The individual must be comfortable with handling these types of tasks on a regular basis.

Key accountabilities include:

- Provides project coordination/management support and services to the Executives and their teams for projects, programs, and events, ensuring project and request deadlines are met, and proactively raising risks and issues.
- Drafts, edits and coordinates the preparation and review of content, documents, reports and presentations
- Coordinates and liaises with internal and external stakeholders
- Schedules and coordinates meetings and events, takes meeting minutes.
- Provides executive support services to the Executives, including calendar management, arranging meetings, processing expense claims and making travel and hospitality plans and arrangements.
- Provides administrative support to the Executives and their teams, including in finance, procurement and contract administration.
- Manages day-to-day financial duties and record keeping of the department, including processing invoices, and conducting financial reconciliations.
- Provides advice on financial and administrative issues and procedures to the Executives and their teams.
- Assists with contract coordination and administration, tracking and routing documents for appropriate approval.
- Prepares financial reports using established procedures including budget tracking, variance, and forecast reports.

**Essential Qualifications**

**EDUCATION**:Degree or certificate from a recognized institute in administrative support or an acceptable combination of education, training and experience.
- Minimum 2 years’ experience in providing executive, administrative, financial and project support services.
- Experience in managing multiple initiatives/activities simultaneously.
- Experience in preparing and editing information products, presentations and reports.
- Experience in monitoring and tracking a project budget such as conducting variances, processing invoices and contracts.
- Significant experience in using Microsoft Office Suite at an advanced level (including Outlook, Word, Excel and PowerPoint).
- Experience in project management an asset

**KNOWLEDGE**:

- Knowledge of administrative directives, guidelines and procedures
- Knowledge of practices and procedures for the format and routing of documents
- Knowledge of the organization of meetings and related venues
- Knowledge of financial practices and procedures
- Knowledge of procedures related to overseeing and managing travel arrangements and hospitality for meetings, events and conferences
- Knowledge of Microsoft Office Suite (including Outlook, Word, Excel and PowerPoint) Knowledge of CRM systems
- Knowledge of practices used in records management and maintaining filing system
- Knowledge and experience in project management and planning
- Knowledge of contract principles is an asset
- Knowledge of Canadian tourism industry an asset

- Solid organizational and multi-tasking skills and ability to remain efficient, supportive in a fast-paced environment and able to establish priorities
- Ability to adapt and learn quickly/self-motivated.
- Extensive time management and organizational skills and ability to meet tight deadlines with a high level of accuracy.
- High level of interpersonal and networking skills
- Excellent computer and presentation software skills
- Strong problem solving techniques
- Excellent verbal and written communication skills
- Ability to produce, analyze and interpret reports such as forecasts, variance reports and budget reports
