**Position Summary**:
The primary purpose of the Document Control Clerk is to preserve and maintain the integrity of the original documents and records, both in paper and electronic form. Labeling, sorting, cataloguing, scanning, and filing documents and records. The Document Control Clerk is accountable to retrieve in-house records, and support for off-site records. They are also accountable for creating and maintaining accurate electronic libraries, including a monthly review, and continuous purging files and folders to keep them up-to-date. The Documentation Control Clerk provides prompt response to Document Control Customers, is part of the cross training program to ensure coverage of all Document Control activities, including organizing and leading Document Control meetings, and creating and keeping up-to date work instruction related to this role.

**Duties & Responsibilities**:

- Preserve and maintain the Integrity of the original documentation and Electronic filing/storage system
- Labeling, sorting, cataloguing and properly filing new and returning documents
- Retrieves documents for in-house and sub-contractor use
- Maintain and input information onto the Master Excel spreadsheets
- Receives electronic documents; compress, rename and save into electronic storage system
- Scans original documents for in-house and sub-contractor use
- Documenting, packaging and sending proprietary documents off-site
- Reviewing and updating external documentation libraries (MSDS, BPS, etc) on a monthly basis
- Purging and properly discarding old and copies of proprietary documents
- Manage the master digital technical publications reference libraries; ensuring all is updated with revisions, temporary revisions, etc.
- Create and manage Document Control's Work Instructions and reference material
- Initiate meetings between Document Control and various departments to create and/or clarify procedures for managing documents

**Experience & Education Requirements**:

- High school diploma or equivalent
- Post-secondary education preferred
- Excellent paper and electronic filing skills
- Familiar with document scanning processes
- Familiar with word, excel, outlook, and Adobe Acrobat
- 1 to 3 years in a documentation control capacity preferred
- Familiarity with library processes preferred
- Familiarity with documentation control systems preferred
