Safehaven serves individuals with disabilities and their families, through respite and residential programs at our Toronto, Etobicoke, North York, Woodbridge, and Aurora facilities, as well as client homes.

**Role Summary**:
The **Lead Admin and Special Projects** role will be a very diverse role within Safehaven. This role will lead special projects to ensure their completion and management. The Lead Admin and Special Projects will collaborate with the Director of Operations and Performance Excellence to provide support and assistance to key organizational objectives, and milestones.

**Responsibilities**:

- Work with the Director to provide support to Special Projects within Safehaven, which include:

- Project Management and Coordination
- Serving as the Main Point of Contact for the Project Assigned
- Provide Strategic Coordination regarding the Project
- Working with External and Internal Stakeholders for Project Coordination
- Manage Project Workflow, Timelines and Operational Implementation
- Attend Meetings, Develop Agendas, Notes and Summary Materials of Projects Assigned
- Manage and Provide Education & Training for Staff related to Project
- Create and Disseminate Communications and Change Management Strategies for Project Implementation and Awareness
- Data Analysis and Ad hoc Reporting:

- Generate Regular and Ad hoc Data Reports on Benchmarks, Statistics, and Dashboard Creation for Real Time Metrics
- Create Pivot Tables and Dashboards
- Provide General Administrative support where required to support the team, this can include the following:

- Ordering Supplies
- Inventory Management
- Coordinating external Vendors
- General Administrative Support
- Schedule Meetings
- Provide On-Site Support and Management of Project Implementation and General Support

**Qualifications**:

- University degree; or equivalent experience
- Must have at least 3-5 years of experience working in an project coordinator role with a proven ability to work in a face-paced environment.
- Must have at least 2 years’ experience in IT project environments.
- Must be able to handle complex scheduling with strong knowledge of Microsoft Office suite.
- Must have an extensive knowledge on Excel and be able to create ad hoc reports.
- Must have good knowledge on PowerPoint and be able to create presentations.
- Must be able to work well under pressure.
- Desire to work for an organization that is committed to providing exceptional service and be an ambassador of Safehaven values to provide services to clients and families.
- Experience working with multiple competing priorities.
- Experience working within a health care organization or setting.
- Understanding of use of technology and systems, willingness to learn new systems to be applied to work.
- Ability to communicate with others in an effective and professional manner.
- Excellent written and verbal communication skills.
- Ability to work effectively in a team environment as well as independently.
- Strong organizational and time management skills.
- Leads self and demonstrates willingness to learn and accept responsibility.
