Program Supervisor - Orange Hub

**Purpose**:
The Program Supervisor will report to the Program Manager. This role is responsible for the successful execution of service delivery, supervision, and performance management of team members and collaboration internally and externally.

The conscientious Program Supervisor will act with integrity, be open to growth, live our purpose, cultivate teamwork, and put forth an extraordinary effort to empower people with diverse abilities and their families to grow, succeed, and belong.

**Key Functions**:

- Lead the team in planning, delivering, monitoring, and evaluating enhanced respite services resulting in an extraordinary degree of customer and employee satisfaction
- Completion of all assigned tsks as outlined in the Programs Work Plan
- Support and supervise team members while effectively utilizing financial and operational resources through compliance with organizational and departmental policies and core processes
- Accountable for consistent achievement and results of individual and program outcomes
- Responsible for effectively maintaining and utilizing funding according to policies, agreements, and contracts
- Maintain timely, accurate, and professional correspondence, records, reports, schedules, spreadsheets, and documentation
- Ensure the safety of participants, employees, volunteers, and family members attending programming and facilities
- Perform other job-related activities as required

**Responsibilities**:
Leadership
- Build organizational capacity through employee understanding of role expectations, program/service objectives, core purpose and core values, and policies and processes
- Establish and maintain collaborative relationships with internal and external stakeholders

Supervision
- Supervise Assistant Program Supervisors and Team Leads
- Ensures policies and processes are followed by all
- Participate in and hold regular team meetings and communicate necessary follow-ups

Financial and Resources
- Responsible for effectively maintaining and utilizing funding according to policies, agreements, and contracts
- Adhere to monthly budgets for programs/centres
- Ensure that invoices are signed off and processed according to policy
- Ensure all resources for employees are on hand
- Manage spending of grants and ensure photos and stories are provided to Development and Communications

Human Resources and Employee Development
- Coordinate with HR and Program Manager to identify and address employee resourcing, employee placements, status changes, performance management, scheduling for time away from work, professional development, and certification requirements
- Issue verbal/written warnings, progressive discipline, and performance improvement plans
- Assist in recruitment of new employees as directed and ensure onboarding and training of new employee is completed
- Conduct 5-5-5’s with direct reports

Problem Solving and Behaviour Management
- Responsible for review of all incidents, identifying problems, and developing solutions/strategies
- Provide exemplary customer service, problem solving, and resolution to complex issues

General Administration
- Ensure family documentation is on file according to policy (i.e. guardianship, consents, ISP’s, incident reports, and med releases)
- Maintain timely, accurate, and professional correspondence, records, reports, schedules, spreadsheets, and documentation

Reporting/Communication
- Manage onsite resource materials, program and participant information, and administrative paperwork
- Verify completion, accuracy, approval and sign-off daily, weekly, and monthly reports
- Arrange and conduct meetings with individuals/families, funding agencies, and service providers
- Provide supportive documentation for use by management or other departments
- Arrange for behaviour management consultation to support Community Specialist team as required
- Ensure the policies are communicated to employees and families
- Ensure family’s concerns are addressed in a timely manner
- Ensure Cascade Messages are sent out to all employees

Cultivate Community Inclusion
- Advocate on behalf of the individual/family and liaise with relevant parties to provide necessary information and supporting documentation

Program Planning, Activity, and Outcomes
- Ensure all program activities are aligned with Enhanced Respite Standards
- Manage program delivery and services to promote dignity, personal identities, social roles, and independence
- Provide input upon request regarding new programs, targets and/or expense projections during budget development process
- Ensure all activities planned by Assistant Program Supervisor/Team Lead/Community Specialist adhere to goals of participants
- Accountable for consistent achievement and results of individual and program outcomes

Risk Management
- Ensure the safety of participants, employees, volunteers, and family members attending programming and facilities
