**The Opportunity**

The Procurement & Logistics Coordinator is responsible for managing and coordinating various aspects of the procurement process and logistics operations. The primary role is to ensure a timely and efficient flow of goods and materials through the supply chain for all projects.

**Key Responsibilities**

Reporting to the Design Manager, responsibilities and essential job functions include, but are not limited to, the following:

- Identify procurement needs, including goods, materials, and services required for project operations.
- Source and evaluate potential suppliers, negotiate contracts, and establish pricing agreements.
- Monitor inventory levels, reorder points, and lead times to ensure sufficient stock availability.
- Coordinate with suppliers to ensure timely delivery of goods and resolve any supply chain disruptions.
- Maintain procurement records, including purchase orders, invoices, and contracts.
- Coordinate shipping logistics, including transportation, warehousing, and distribution activities.
- Arrange and monitor the shipment of goods, ensuring compliance with regulations and delivery schedules.
- Collaborate with freight forwarders, carriers, and customs brokers to facilitate international shipments.
- Track and trace shipments, update stakeholders on the shipment status, and address any delays or issues.
- Manage documentation related to shipping, including bills of lading, customs documentation, and import/export requirements.
- Monitor and maintain inventory levels, conducting regular stock checks and reconciliations.
- Optimize inventory control processes to minimize stockouts and excess inventory.
- Coordinate with internal teams to forecast demand and ensure inventory availability.
- Implement strategies to improve inventory accuracy, efficiency, and cost-effectiveness.
- Build and maintain strong relationships with suppliers, ensuring effective communication and collaboration.
- Evaluate supplier performance, including quality, delivery, and service levels.
- Identify opportunities for supplier consolidation, cost savings, and process improvements.
- Conduct periodic supplier evaluations and negotiate supplier contracts and agreements.
- Ensure compliance with relevant regulations, including customs, trade, and shipping requirements.
- Maintain accurate records and documentation for auditing and reporting purposes.
- Stay updated on industry regulations, trends, and best practices related to procurement and logistics.
- Liaise with internal stakeholders, such as purchasing, operations, and finance teams.
- Collaborate with cross-functional teams to optimize supply chain efficiency and resolve issues.
- Communicate with external partners, including suppliers, carriers, and customs authorities.
- As needed, provide administrative or general office support.
- Handle incoming calls, assist walk-in guests, handle all incoming mail and fax, and manage incoming and outgoing courier services.
- Manage and maintain overall cleanliness and tidiness of office areas, including ordering office stationery and supplies.

**Qualifications**
- A bachelor's degree in logistics, supply chain management, business administration, or a related field
- 2-3 years’ experience in procurement, logistics, or supply chain management is required. Experience in the marine industry is an asset.
- Variation of work experience and education will be considered.
- Experience in coordinating international shipments, working with freight forwarders, and dealing with customs regulations.
- Familiarity with shipping documentation, such as bills of lading, customs forms, and import/export requirements.
- Solid understanding of procurement processes, logistics operations, and supply chain management principles.
- Proficiency in using relevant software and systems for procurement and logistics, such as inventory management software, transportation management systems, or enterprise resource planning (ERP) systems.
- Strong analytical and problem-solving skills to identify and resolve logístical challenges.
- Excellent organizational and time management abilities to handle multiple tasks and meet deadlines.
- Effective communication skills for collaborating with suppliers, carriers, internal teams, and other stakeholders.
- Attention to detail and accuracy in managing documentation and records.
- Knowledge of international trade regulations, customs compliance, and marine industry practices.
- Proficiency in using Microsoft Office
