**The opportunity**:
Reporting to the Senior Manager, Operations Account Services & Support, The Operations Assistant will support our Wealth Advisors and associates to ensure quality control of documents and that procedures are properly implemented and maintained.
**Key responsibilities include**:
- Assisting in establishing department procedures, implementing, and continually reviewing them to create efficiencies.
- Providing timely and accurate responses to documentation queries and account opening requests from internal departments and investment advisor teams.
- Doc Support Inbox: manage, resolve, and assign tickets to appropriate teams and departments. Monitor ticketing systems within internal platforms and manage day-to-day workflow operation processes.
- Collaborating with other departments to support account opening within the organization.
- Managing returned mail and hold mail requests following internal department processes.
- Maintaining electronic copies of all submitted documentation within Advisor Connect and Croesus.
- Providing clients with signed documentation and welcome packages via electronic signature platforms.
- Advisory Team Relational Support: Resolve issues, answer inquiries, attend meetings, and coordinate with departments and third-party stakeholders to provide optimal client support.
- Performing other duties as assigned.
- College or University undergraduate degree in a related field, or equivalent work experience.
- 1-2 years of financial services industry experience, preferably in an administrative or operational capacity.
- 1-2 years’ experience in a customer/client-service
- facing role.
- Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
- Experience using Croesus, iMost, Net Rep, Thompson One.
- Demonstrate exceptional accountability, reliability, adaptability, and innovation in daily tasks and long-term objectives.
- Exhibit an excellent attitude and unwavering commitment to providing extraordinary service.
- Showcase meticulous attention to detail in all responsibilities.
- Possess exemplary interpersonal skills with the ability to communicate effectively and work collaboratively across various mediums (in-person, over the phone, and virtually).
- Display strong organizational skills to manage tasks efficiently.
- Utilize strong critical thinking and superior written and verbal communication skills.
- Maintain the highest levels of confidentiality in all matters.
