Position OverviewThe Assistant role is responsible for providing administrative support to a High-Net-Worth investment advisor team. The role will interface directly with clients and be responsible for the administration of all account documentation as well as producing reports and acting as the liaison between clients and the Investment Advisor.
- Duties & ResponsibilitiesSupport the Investment Advisors in general administrative duties in the management of client accounts
Support the Investment Advisors in preparing all documentation required to keep client accounts up-to-date
Request information from clients for documentation completion
Maintain key aspects of client files such a RRIF payments, monitoring Portfolio Aid risk tool, and the online account system
Maintain administrative liaison with the different operations departments
Prepare memos, letters, documents and manage periodic mass mailings to existing and potential clients
Maintain Maximizer Database (CRM) with client and prospect information
Act as contact person for clients concerning products, procedures and policies
Monitor all pending client transfers to ensure completion on a timely basis
Have cheques issued for client accounts
Organize and monitor all the documentation and activity associated with processing new and existing estate accounts
Maintain client files
Coordinate events such as client functions and meetings
Coordinate postage needs
- Skills & Qualifications2-3 years administrative experience in an office environment is required, financial industry experience required
Knowledge of daily market activity to provide information to clients
Ability to provide outstanding customer service
Great attention to detail and a high level of organizational skills
Proficient with MS Office, Maximizer and Dataphile
Ability to work well under pressure and to meet tight deadlines
Self-motivated, results oriented and strong team player
Superior communication skills, both written and verbal
Excellent administrative skills
- EducationCompleted College or University education is required
