ONE POSITION FOR SPENCER MIDDLE SCHOOL

THIRTY-FIVE HOURS PER WEEK. THIS IS AN ELEVEN MONTH POSITION

**QUALIFICATIONS**:
Secondary school graduation or equivalent with post secondary supplemented by data management.

Minimum of four years general office experience with at least one year of which must be in the use of school based data management.

Working knowledge or training in the use and support of school based student information systems (MyED BC) as it relates to student and staff demographics and student records; marks and attendance.

Advanced expertise and competency in relevant software programs, including the ability to import/export data between programs (Windows, Outlook, Word, Excel, MyED BC, Engage Dashboard and Ministry Data Collection Websites) as it relates to student records, marks and attendance.

Working knowledge of Ministry requirements for Data Collection and district/school reporting processes. Extensive knowledge and understanding of Ministry of Education “Handbook of Procedures”.

Working knowledge of B.C. Graduation requirements. Extensive knowledge and understanding of Ministry of Education “Course Information for Graduation Program” - Ministry courses, BAA courses, external credits.

Excellent communication skills to deal with various requests from Universities; Colleges; students and parents and district and school personnel.

Minimum word processing speed of 50 words per minute.

Demonstrated ability to adapt to changing technical requirements.

**RESPONSIBLE TO**: As assigned - normally school principal or vice principal.

**SUPERVISES**: As assigned.

**JOB GOAL**: To contribute support and manage student confidential records and demographics as well as other information vital to the education process.

**PERFORMANCE RESPONSIBILITIES**:
Enters, manages, verifies and responds to queries about all school based student data (e.g. ministry requirements, graduating requirements, report cards, timetables, PR cards, attendance) for all reporting processes using the student management system.

Under the direction of the principal/vice-principal create complex timetables for staff and students.

Manages the accurate handling of electronic student data as required, including registration, withdrawal, cross-enrollment, pre-transition etc.

Interface with Ministry of Education regarding transmission of student data through the 1701 report, TRAX and SADE Report.

Start of year set up reporting periods, timeline for report cards, tumble pattern for attendance, home room assignments.

Manages the preparation and production of student report cards four times per school year.

Create a published version of the school course information booklet and course selection forms for students and parents to review.

Register students in Literacy and Numeracy Assessments, update session dates in MyED, print off and upload assessments.

Set up MyED BC student/parent accounts, password resets.Assist parents/students in logging in to MyED.

Accountable for care, accuracy and attention to detail in all aspects of written and verbal communications and excellent provision of service to students, parents, and staff.

Verify validity of information presented to outside agency such as lawyers, ICBC investigators, post-secondary institutions, Revenue Canada, Ministry of Children and Families.

Communicates effectively with all levels of school, district, and provincial personnel.

Uses office technology as required and learns new systems as necessary.

Respects the confidentiality and correspondence and discussions at all levels.

**TERMS OF EMPLOYMENT**: Eleven month school year.
