Position Summary:
The Program Administrator of the Executive MBA McGill-HEC Montreal (EMBA) is key to the delivery of the program and has a primary role in delivering a superior experience and learning environment to participants, to ensure that they can focus on learning and getting the most possible out of the program. This includes supporting all needs of professors involved with the program, whether they are from McGill or HEC. As key contact and liaison to participants and faculty, s/he provides advice and support on all administrative and logístical issues and is the team expert on University policies and procedures both at McGill and HEC Montréal. The incumbent plays an important liaison role between the two institutions so that the partnership is seamless to participants. Professional and personalized are two key descriptors for the service provided.

Primary Responsibilities:

- Organize the logistics for the delivery of program modules; liaise with professors for course materials, navigate the bureaucracy of two separate institutions, i.e. McGill and HEC, prepare, collect and distribute course materials and track and collect participant assignments and other submissions; manage two offsite module deliveries per year (one in Canada and one international).
- Oversee the program's finances by writing contracts, monitoring accounts and processing payments, and reconciling expenses, review quarterly statements, develop preliminary program budget and monitor program delivery according to budget.
- Plan and organize various events throughout the year, i.e. orientation, two-cohort supper, end-of-year cocktail, end of program poster sessions, and other events related to offsite modules.
- Develop and deliver orientation/welcome package for participants and ensure their smooth on-boarding to the program.

Other Qualifying Skills and/or Abilities

Excellent organizational and interpersonal skills as well as a keen sense of observation. Must be participant-focused, service-oriented and able to remain composed in the face of unforeseen issues, and at ease with unexpected changes. Must exhibit tolerance and compassion in stressful situations. Must operate with the utmost discretion, as participants often submit and discuss highly confidential material. Proven analytical, planning, problem-solving and decision-making skills. Demonstrated ability to work under pressure on multiple projects, prioritize and meet strict deadlines with limited supervision. Experience in managing a graduate program in an executive learning environment, including the supervision of staff when necessary. Strong attention to detail. Demonstrated ability to work in a MS Office environment and have experience using Banner SIS. Familiarity with Banner, SharePoint, Limesurvey, and Node XL a plus. Ability to learn new software as required. Knowledge of the functions of the Desautels Faculty of Management and HEC Montréal an asset. Languages: Fluency of French and English (spoken and written). McGill University is an English-language university where day-to-day duties may require English communication both verbally and in writing. A third language (e.g. Spanish) would be an asset.
