**EXECUTIVE ASSISTANT**

Our small, customer-focused entrepreneurial firm with a stellar track record for meeting client needs is searching for an Executive Assistant to join our team on a full or part-time basis. The nature of the work is extremely deadline driven and we need someone with outstanding organizational skills with the ability to self-manage, own their own work, be a proactive problem solver with the ability to handle multiple tasks simultaneously while maintaining a positive attitude.

General Duties Include:

- Project Management and Coordination
- MS Word Document Formatting
- Calendar Management
- Contact Management
- Correspondence and Forms
- Online (or by phone) Research, Purchases or other Forms
- Document Management
- Digital Filing and Organizing
- Errands
- Event Planning
- Travel Coordination
- Specific Duties Include:_
- Initiate Client Opportunity Intake
- Assist in the creation of proposal document templates
- Manage Bid Intake and Distribution of Amendments
- Maintain the Proposal Tracking Sheet
- Manage ongoing deadlines using varying processes
- Manage tasks; planned or otherwise
- Manage company projects using online time-tracker
- Prepare and maintain weekly team meeting and administrative meeting agendas and action items
- Assist with developing and maintaining of company processes (SOP’s)
- Liaise with clients, maintaining a professional presence on behalf of the company and ensuring excellent customer service at all times
- Assisting with day-to-day administrative duties as required including maintaining client records, tracking proposal results, performing research and other tasks that may be required
- Support company president with the management of home and family administrative tasks
- Essential Qualifications:_
- Post-secondary education or equivalent experience
- Minimum 3-5 years of professional experience in an administrative capacity
- Excellent verbal communication skills
- Exceptional writing, editing and proofreading skills
- Ability to manage confidential information with discretion
- Advanced Knowledge of Microsoft 365 Apps (e.g. Word, Excel, PowerPoint, Teams, Outlook)
- Exceptional attention to detail, accuracy, and quality
- Independently work with a high level of initiative and the ability to manage projects with mínimal supervision under the pressure of meeting multiple deadlines
- Work from home without undue distractions; self motivated and results driven
- Ability to work in-office as needed
- Strong organizational and time management skills with proven ability to multi-task
- Flexibility in taking on new assignments and responsibilities as needed
- Entrepreneurial attitude; positive; even tempered and calm under pressure; high work ethic
- Willingness to learn, follow and improve upon established processes
- Excellent customer and client relationship skills
- Assets:_
- Demonstrated experience working with clients and/or project team members remotely
- Experience in copywriting and proof-reading
- Experience in Marketing, event planning, communications and social media
- Experience in Human Resources
- Experience working in, or a demonstrated understanding of the benefits and challenges associated with working in, a small, customer-focused, entrepreneurial-oriented organization
- Ability to communicate in French
- Hours:_
- Flexible (may be full or part-time - open to different arrangements to suit lifestyle)
- Remote Hybrid - Work mainly from home with flexible in-office hours

**Job Types**: Full-time, Part-time
Part-time hours: 30 per week
