Marketing Support Hero

**Key Responsibilities**
- Assisting in coordination and support of various marketing activities and events.
- Drive to event locations and assist in event setup and breakdown (National Capital Region).
- Maintain accurate records and documentation related to marketing activities with the marketing team.
- Provide administrative support to the marketing team, including data entry and report generation.
- Collaborate with cross-functional teams to ensure seamless execution of marketing initiatives.
- Manage inventory and supplies related to marketing items and events.
- Assist the Marketing and Events Lead in the preparation and distribution of marketing materials.
- Submit claims to our Marketing Partners and Accounting Team.
- Work with the Accounting Team for reconciliation of invoices.
- Assist the Office Manager in day-to-day management of the office with tasks including: welcoming clients and guest in a friendly and professional manner, answering and transferring incoming phone calls, keeping the reception, boardrooms, and other common areas neat and tidy and helping to build a positive, team-focused culture.
- Order lunches for partner meetings or as needed.
- Assist in managing the budget for marketing-related expenses.
- Manage contracts and relationships with marketing vendors, service providers, ensuring all items are invoiced and paid on time.
- Use computer word processing, spreadsheet, and database software to prepare reports, sales forecasts, and documents as directed.
- File office documentation according to established records management procedures.
- Assist the Partner and Marketing Team to coordinate with corporate travel, within the Marketing Budgets.
- Coordinate meetings, calendars, events, and other arrangements specific to partner related events.
- Coordinate travel arrangements: prepare itineraries, plan logistics, and submit expense reports.
- Support internal event planning committee with team building activities, off-site retreats, holiday parties, events, and client meetings as required.
- Maintain and manage the partner event calendars.
- Provide administrative support to the Partner and Marketing Team.
- Manage communication while maintaining confidentiality of highly sensitive information.
**Experience and Qualifications**
- Must have a valid driver's license and access to a reliable car.
- Previous experience in event coordination and hosting.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Detail-oriented with a high level of accuracy.
- Ability to work flexible hours, including evenings and weekends as needed.
- Positive attitude and ability to work effectively in a team environment.
- Post-secondary education in business, computers, or office management is preferred.
- Preference will be for those who have taken a business administration course.
- 3-5 years of experience
- PowerPoint, Word, and Excel savvy. Experience with NetSuite is preferred. Comfortable with information systems and databases (e.g. Salesforce, etc.)
