**Office Administrator - Small Business**

**OVERVIEW**:
The Office Administrator is essential in contributing to the overall efficiency and effectiveness of Halton Electric’s family owned and operated business.

This position will be responsible for providing administrative support to our team. The position will require carrying out a series of administrative tasks including processing invoices for accounts payable, providing various Excel reports, assisting with the maintenance of the filing system as well as some “front-of-house” and office manager type duties to ensure the office runs smoothly and efficiently.

**DUTIES AND RESPONSIBILITIES**:

- Identify opportunities for process and office improvements to ensure efficiency, including researching and recommending best practices, direct deposit payroll and software improvements for small business office management.
- Process and log accounts payable invoices for payment into accounting software (SAGE).
- Review and send prepared quotes and billing to existing and potential clients and follow up on submitted quotes within required timelines.
- Create invoices from completed electrician packages; including matching materials used to supplier pricing and labour costing.
- Send completed invoices to clients for payment and follow up on outstanding unpaid invoices.
- Maintain accurate electronic and physical filing systems.
- Ensure WSIB and liability insurance is up-to-date and obtain WSIB Clearance certificates as required.
- Assist and coordinate staff meetings and follow up on documentation and minutes appropriately
- When required assist with implementing and training of new software
- Generate reports for management as required
- Provide backup coverage for the Office Clerk as required

**EDUCATION**:

- Community College Diploma in Office Administration or University Degree in Business Administration

**EXPERIENCE/SKILLS**:

- 5 or more years of office administration experience
- Strong time-management and people skills
- Ability to multitask
- Proficiency in Microsoft Office and Google platform with aptitude to learn new software and systems
- Proficiency in accounting software such as SAGE
- Strong attention to detail

**Salary**: $27.00-$30.00 per hour
