**What we are looking for**
**Key responsibilities**
**1. Administrative Support**
- Efficiently manage all aspects of scheduling, travel arrangements, and logistics for the division’s senior executives.
- Support administration and maintenance of common tools used by the division.
- Provide comprehensive meeting preparation support, including agenda preparation, minute-taking, and action item tracking.
- Ensure effective document and information management, maintaining organized records.
- Provide data, reporting, and project progress tracking by generating dashboards, stakeholder reports, and associated products.
- Manage project timelines and report on progress using dashboards, reporting, and other tools.
**2. Financial Support**
- Manage vendor invoices, project expense tracking, and financial reporting, in conjunction with the finance team.
- Work closely with the finance team to ensure streamlined financial management across the division.
**3. Project Support**
- Take on delegated responsibilities to coordinate specific aspects of key projects.
- Lead smaller projects under the guidance of the Chief Strategy Officer and ensure projects stay on track.
- Manage and use project management tools to organize and monitor project progress.
- Collaborate with cross-functional teams, within and outside the division and company, to ensure projects are successfully executed across the division.
**4. Business Support**
- Support business plan development and analysis.
- Develop financial models.
- Assist with research and data collection for strategic initiatives.
- Collaborate with other members of 369 Publishing and the Group to contribute to the growth and development of the division.
**Qualifications**
- A bachelor's degree in business, management, or a related field is strongly preferred
- 5+ years in project management, coordination and administrative support strongly preferred
- Creative problem-solving and strong initiative
- Project management experience with professional qualifications is preferred
- Proven experience in project coordination or a similar administrative role is an asset
- Experience developing business plans and financial models is desirable
- Experience working in fast-paced organizations with evolving needs and priorities is an asset
- Strong organizational skills with exceptional attention to detail
- Excellent communication and interpersonal skills
- Ability to work independently, with little direction, and as part of a team
- Analytical thinking and problem-solving capabilities
- A keen interest in business strategy, planning, and publications is a plus

**Note: This is a full-time hybrid position based in Ajax, Canada.**
Pay: $57,000.00-$63,000.00 per year
