**JOB SUMMARY**

This 5 day a week The Administrative **Payroll Clerk position** works under the direction of the Controller. In confidence, the Administrative **Payroll Clerk ** performs a variety of administrative and clerical duties such as payroll, minute taking, letter writing, receiving visitors, telephone answering, maintaining files and bookkeeping activities. As a team player the Administrative **Payroll Clerk ** also monitors the people coming and going from the facility and reports any concerns that arise that could affect the safety of persons-in-care or for the facility.

**SPECIFIC DUTIES AND RESPONSIBILITIES of the** Administrative **Payroll Clerk ** **includes but are not limited to the following**:

- Prepares and runs payroll and prepares and submits all related reports.
- Benefit administration
- Maintains confidentiality regarding all client, personnel and organizational matters of a confidential nature and when working with confidential materials ensures they remain secure at all times.
- Inputs and processes data for accounts payable.
- Performs reception duties as needed including receiving visitors, providing information and directing to appropriate areas, answering telephone, receiving and relaying messages.
- Receives cheques, issues receipts and records payments.
- Performs scheduling duties as requested.
- Forwards incoming mail and Confidential Drop Box items to Executive Director or designate.
- Processes outgoing mail.
- Prepares floats, checks floats and prepares and delivers bank deposits and runs other errands as required.
- Organizes and facilitates Occupational Health and Safety meetings
- Maintains office filing system for personnel records, payables and correspondence.
- Maintains Policies and Procedures Manuals as directed and as per regulations.
- Creates, edits and photocopies forms as required.
- Reports unsafe or faulty equipment to the designated supervisor.
- Records minutes as requested.
- Ensures the safety of the home through compliance with Worker’s Compensation Board standards and regulations and active participation in safety huddles.
- Keeps equipment and all work areas clean and conducts routine cleaning and appropriate maintenance of work area as required.
- Performs other related duties as assigned.

**III Qualifications**
- Must be fully vaccinated for COVID 19, influenza and agree ongoingly to abide by all public health recommendations
- At least 2 years of payroll experience
- Administrative Office Assistant Certificate or grade 12 with an equivalent combination of education, training and experience.
- Experience working in a health care facility preferably in a mental health setting.

b) Must have above average ability to work with people and to relate to tenants, persons-in-care or tenants with mental health concerns of all ages and their families.

c) In accordance with all legislations and requirements, ensures standards of care are appropriate to their education and skill level.

d) Pass the appropriate criminal record clearance

e) Two satisfactory professional reference checks that come back without concerns

f) Agrees to abide by all policies and procedures

g) Demonstrates a positive and a caring attitude

h) Takes responsibility for self (i.e. ongoing self-development, personal health)

i) Is a team player by demonstrating a desire to help create a positive and happy work place culture

j) Agrees to abide by immunization recommendations by Public Health such as influenza and covid-19

k) Possess skills, experience and knowledge required for the position

l) Agrees to sign an educational development agreement

m) Produces required and appropriate documentation:

- certificates/licenses/resume/skill requirements
- character references
- history/tuberculosis/immunization program
- confidentiality agreement

Full time 35 hours a week. Approximately ten times a year evening hours are required to attend and record minutes at the Board of Director meetings - usually 630 to 8:30 or 9:00 are the hours that need to be covered and this can be done in a split shift or just by starting later in the day.
