The role of Family Practice Reception Staff, mínimally is to: coordinate patient and physician schedules as well as practice invoice recollection, file management, completion of forms, processing third-party and uninsured billings and general administrative and office organization.

**OVERVIEW**
A typical workday **may** consist of up to an eight (8) hour day, with 60-minutes unpaid for lunch. Hours will depend on various circumstances, including, but not limited to: (i) work load, (ii) office demands and (iii) situations of urgency. **There are no regularly scheduled nor guaranteed hours for these positions**.

Hours are normally from 8:30am to 4:30pm Mondays to Thursday and 9:00am to 1:00pm on Fridays. Prior to commencement of your employment, there will be mandatory training shifts that will be scheduled. Training shifts may be half days or full days, at the discretion of the employer.

**The job includes**:

- Significant amounts of multi-tasking
- Answer multi-line phones and either direct the caller to the appropriate party or handle the caller’s needs yourself
- Greet patients upon arrival, register the patient and confirm demographic information is current (i.e.: address, phone number, consent to leave messages, OHIP information et)
- Provide patients with new patient forms as well as copies of relevant office policies
- Process payments from patients for co-pays and uninsured visits
- Schedule appointments for new and recurring patients based on physician availability and scheduling preferences
- Maintain update-to-date patient electronic medical record (EMR)
- Call patients to remind them of upcoming appointments and to help the patient coordinate/navigate testing for off-site services (i.e.: lab)
- Provide patients with support and guidance as needed
- Other duties and responsibilities as determined and communicated

**QUALIFICATIONS AND EXPERIENCE**
- Completion of Ontario Secondary School Diploma
- Previous experience working in administration
- Solid problem-solving skills
- Ability to exercise sound judgement
- Ability to function independently under delegated direction in a self-directed and efficient manner
- Computer proficiency an asset (Word, Excel, Access, PowerPoint)
- Previous EMR experience preferred (i.e.: Telus - PS Suite)
- Strong computer literacy is required to facilitate the use of electronic medical records
- Strong organizational, time management, interpersonal, and communication skills
- Ability to work independently and cooperatively in a busy multidisciplinary team
- Exercise professional decorum and attitude at all times.
