The Administrative Assistant will be responsible for/to:

- Provide clinical support service including patient registration, scheduling and coordinate patient’s appointments, referrals, investigations, test, procedures bookings, and concerns; issue admission confirmation for clinical and hospital services; follow up as required.
- Directs telephone calls and enquires from patients or families, hospital management and medical staff, trainees and external parties and direct appropriately
- Maintain patient charts are up-to date with all test results, clinical notes, demographics information etc.
- Ensures efficient and effective maintenance of office and hospital record system, both electronic and paper formats
- Performs typing duties including reference letters, travel letters,, invoices, updating new formatting of billing forms and other forms as required
- Run an outpatient clinic 4 days per week (additional as required) Register patients, obtain all previous medical records, arrange investigations, bookings and follow-ups
- Book procedures for patients and instruct patients how to prepare for procedures
- Prepares and distributes outgoing documents or packages electronically and through mail. Arranges for delivery and/or distribution of packages
- Process OHIP, non-OHIP and third party billing accurately and efficiently on a daily basis and follow-up on outstanding claims and resubmissions
- Maintains related electronic databases ensuring accuracy of content and formatting
- Performs other jobs related duties as assigned
- Schedules clinical preceptors for the rotation with assistance from the UHN education coordinator for identification of volunteers from each division
- Schedules clerkship educational activities, ambulatory clinic experiences, debriefings and end-of-rotation interviews
- Tracks student absence requests and coordinates/confirms reporting with the University
- Schedules ambulatory clinics for 3rd year students and distributes schedules to supervisors and students
- Schedules educational rounds, debriefs, EBM journal club, and seminars for the clerks and develops a master schedule in conjunction with the Site Directors and Chief Medical Resident
- Schedule midterm and final evaluations in conjunction with the Site Directors and ensure proper student assignment in Medsis
- Collect and collate assignments/assessments and assist with publishing of marks
- Provide thank you letters to preceptors, clinic supervisors and teachers identified as outstanding on debriefings
- Performs other duties consistent with the job classification as required by the Deputy Physician in Chief - Education at Sinai Health/University Health Network
- Job Requirements- Successful completion of a college diploma preferably in the field of Medical Office or Business Administration from an accredited educational institution.
- Minimum of two (2) years of related experience preferably working within a clinic/health environment
- Applicants with proven equivalent recent and related training and experience may also be considered.
- Proficiency with medical terminology and medical dicta-typing preferred.
- Proficient in Microsoft Word, Excel, Power Point, Outlook

- Superior written/oral communication and presentation skills; excellent interpersonal and relationship building skills; ability to effectively convey factual information and detailed explanations

- Demonstrated ability to make decisions, exercise good judgment, discretion and initiative when dealing with confidential information and/or in responding to inquiries
